Administrative Officer Are you GAME to JOIN US and be our new Administrative Officer?
Soft Construct is on a search for a new player to join our team. Job responsibilities

  • Manage the lifecycle of employment contracts and addenda using digital tools (Adobe Sign), ensuring proper execution and organized filing in employee records
  • Oversee monthly timesheets to validate vacations, medical leaves, holidays, and remote work before reporting for payroll calculation. Ensure that attendance during working hours is properly managed and there are no unauthorized absences
  • Guide employees on vacation payouts and benefits; coordinate with external accounting for severance calculations, ensuring data precision
  • Lead induction processes for new hires and manage organizational climate activities, such as birthday announcements and office events
  • Supervise the payment chain and maintenance of office services (Rent, Utilities, Internet, HVAC maintenance, etc.) to ensure physical office operability
  • Coordinate with logistics providers, request quotes, register invoices in internal systems (Jira), and track corresponding payments
  • Monitor Health and Safety training compliance and ensure adherence to local regulations (e.g., annual fire extinguisher renewal and Ministry of Labor and Employment Promotion (MTPE) registrations)
  • Act as the primary filter for reviewing hours and employee news/updates before submission to the external accounting firm for payment
  • Prepare draft Cash Requests for management review and maintain updated internal tracking of all requested payments
  • Ensure that local payment flows and reports comply with corporate standards and requirements from the Headquarters (HQ)
Required qualifications
  • 1-3 years in administrative support or operational management roles
  • Degree in Business Administration, Accounting, Industrial Engineering, or related fields
  • Intermediate English proficiency (corporate reporting capability)
  • Intermediate Excel, Jira, and digital signature platforms
  • Highly organized, self‑motivated, and proactive learning attitude
