Executive Assistant, President’s Office Let’s Talk Science seeks a highly organized and deadline-driven professional to provide high-level administrative, governance, and strategic support to our President. The role partners with the President to advance the organization’s mission, enables effective board decision‑making, ensures smooth functioning of the Board of Directors and committees, and strengthens alignment between governance and strategy.
Responsibilities Partner with the President & Founder to advance our purpose-driven mission with clarity and care.
Enable an effective Board by managing agendas, materials, and action items.
Help drive our mission to better prepare youth for their future.
Provide executive support, anticipate the President’s needs, and advance priorities.
Support cross‑organizational coordination and facilitate strategic initiatives.
Maintain confidentiality and act with tact, integrity, and diplomacy.
Prepare high-quality written communication for diverse audiences.
Manage competing priorities in a fast‑paced environment, including occasional work outside regular hours.
Qualifications Post‑secondary education in administration, business, public administration, or related field, or equivalent experience.
Minimum 5 years of experience in executive‑level administrative and governance support roles.
Demonstrated experience supporting boards of directors and governance processes.
Robust proficiency in Microsoft Office; experience with board portals or document management systems (e.g., SharePoint) preferred.
Experience with Raiser’s Edge or other CRM systems an asset.
Fluency in English and French an asset.
Outstanding written communication skills in preparing material across various formats and audiences.
Advanced oral communication, interpersonal, and relationship‑management skills, including ability to influence and build productive working relationships.
Strong understanding of governance best practices and board dynamics.
Exceptional organizational and project‑management skills.
Ability to anticipate needs, operate proactively, and manage competing priorities.
