Executive Assistant, President’s Office At Let’s Talk Science, a national charitable organization in Canada, we seek a highly organized and deadline‑driven professional to provide high‑level executive, governance, and strategic support to the President of the organization.
Responsibilities Partner with the President & Founder to advance the organization’s purpose‑driven mission with clarity and care.
Manage board agendas, materials, and action items to enable effective Board and committee decision‑making.
Coordinate travel, meeting logistics, and communications for the President and senior leadership.
Support governance excellence by maintaining board portals, document management systems, and ensuring compliance with best practices.
Act as an extension of the President’s Office to anticipate needs, advance priorities, and facilitate cross‑organizational coordination.
Maintain confidentiality and exercise tact, integrity and diplomacy in all interactions.
Prepare high‑quality written materials across various formats and audiences, and represent the President’s Office in external engagements.
Manage competing priorities and operate proactively in a rapid‑paced environment.
Support fundraising and marketing communications when required.
Qualifications Post‑secondary education in administration, business, public administration, or a related field, or equivalent experience.
Minimum 5 years’ experience in executive‑level administrative and governance support roles, with demonstrated experience supporting boards of directors.
Strong proficiency in Microsoft Office; experience with board portals or document management systems (e.g., SharePoint) preferred.
Experience with Raiser's Edge or other customer relationship management (CRM) systems an asset.
Fluency in both English and French an asset.
Professionalism, confidentiality, and ability to act with tact, integrity and diplomacy.
Outstanding written communication skills; advanced oral communication, interpersonal and relationship management skills.
Strong understanding of governance best practices and board dynamics.
Exceptional organizational and project management skills.
Ability to anticipate needs and operate proactively while managing competing priorities.
Ability to work outside regular hours on occasion.
