Job Description:US Airport Transfers Coordinator
The Airport Transfers Coordinator will be responsible for overseeing the successful operation of our US airport transfers service, ensuring that hundreds of students reach their campus, Yale University and Columbia University from JFK airport, in a safe, orderly and timely fashion.
Key responsibilities- liaising with UK & USA-based staff in planning pick-ups and drop-offs
- training Terminal Coordinators
- liaising with senior campus staff to secure the assistance of campus teams
- reviewing and producing Risk Assessment documentation
- liaising with third-party transport providers (typically local coach and taxi companies)
- booking the required transport (if needed)
- producing coach manifests for arrivals and departures
This role will report to the US Operations team throughout employment and work directly with Program Directors of each campus during the summer season. The Airport Transfers Coordinator has full responsibility for and ownership of the Airport Transfers function. You will be responsible for the planning of local transport arrangements, appropriate staffing, pre-arrival communications, pick-ups and ultimately the safe arrival of all registered participants at their destination.
Detailsof tasks
- You will review and adapt the established processes with the goal of planning a seamless transfers operation which minimises student wait time whilst fitting within our budget and meeting our safeguarding commitments.
- You will liaise with external contractors to ensure appropriate services are booked.
- You will liaise with various internal departments (Admission team, B2B team, and US ops team) to ensure everyone is fully briefed on how the transfers function will operate.
- You will design and deliver full training to our current campus airport teams on the practicalities of the role, adapting existing manuals and communication protocols where necessary.
- On transfer arrival days, you will be the main point of contact between the Admissions Department (who will liaise with parents), staff on the ground at JFK Airport, external contractors and campus staff who will be waiting for students at their destination campuses.
- You will monitor student progress on their journey via the systems you will create in the planning phase.
- It will be your responsibility to ensure all students are met with an outstanding first impression of Oxford Royale, and reach their destination in the safest, quickest and most professional way possible.
- On departure days, you will ensure students know when they are being picked up, and troubleshoot any issues that might prevent them from reaching their airport terminals in plenty of time for their departure flights.
- This is a fixed-term position starting part-time in May and running through until Saturday 25th July 2026. Days contracted through May and June will be 4 to 6, 8-hour days depending on need.
- You will be required to work on all transfer days, which are:
- Sunday 28th June 2026 (arrival)
- Saturday 11th July 2026 (departure)
- Sunday 12th July 2026 (arrival)
- Saturday 25th July 2026 (departure)
- Transfer days require full availability from 05:00 am to 10:00 pm. Compensation will be in the region of $25 per hour, subject to references and satisfactory completion of US background checks.
- You will be supported with administrative tasks in advance of and on transfer days by our wider US Operations team.

remote working during preparatory period with airport attendance and airport team leadership mandatory on arrival and departure days.
