SUMMARY
The MAC Coordinator, as a part of the Workplace Solutions (On Demand/Client Services) team, is responsible for supporting the planning and delivering of tenant improvements and/or facility moves, adds, or change (MAC) projects. The role supports requests that exceed regular MAC account thresholds, working with internal BGIS staff, clients, and external vendors to ensure timely, successful implementation of larger MAC requests.
Success in this position relies on a solid understanding of furniture systems, interiors, materials, and finishes, as well as knowledge of project management practices, schedules and budgets. The coordinator is customer‑focused and, as experience grows, will facilitate discussions with clients based on their expertise in furniture systems and related areas.
- Engages and communicates with clients with a focus on professionalism, urgency and transparency.
- Delivers on non‑technical projects (e.g., furniture installation, reconfiguration, office construction, painting and re‑carpeting).
- Liaises with senior team members to understand project requirements and provides support as required.
- Researches and liaises with vendors to obtain quotes.
- Prepares documentation for purchase orders to be issued as required.
- Monitors vendor work progress to ensure project completion and verifies that all work orders and purchase orders are closed.
- Supports preparation of move packages and furniture tagging.
- Develops and maintains effective relationships with clients.
- Ensures assigned projects are delivered on time, within scope, budget and requirements, and comply with all regulatory, environmental, health and safety requirements.
- Incorporates sustainable practices, where practical, into MAC delivery in accordance with BGIS processes.
- Other duties as assigned.
- Minimum 1‑3 years supporting the planning and delivering of facility moves, adds or change (MAC) projects, or project administration/coordination work experience.
- College Diploma or equivalent training.
- RPA, CET considered an asset.
- Proficient in MS Excel, Word, and Outlook.
- Experience with BGIS’ proprietary software, Real Suite, is ideal.
- Ability to learn and use new technology (tools and applications).
- Ability to work independently to deliver non‑technical projects according to requirements, on time and within budget.
- Working knowledge of various furniture systems, interiors, materials, and finishes, as well as knowledge of project management, move management, construction and scheduling.
- Self‑starter with strong organizational skills and ability to manage multiple assignments simultaneously.
- Ability to prepare accurate cost estimates and project activity timing.
- Strong analytical, problem‑solving and conflict management skills.
- Strong interpersonal skills. Ability to influence others to ensure timely and quality completion of projects.
- Excellent verbal and written communication skills, including report writing and client communication.
- Ability to work overtime, nights and weekends as required.
- Ability to travel locally and nationally.
- Access to a vehicle is required.
- Valid Driver’s License.
- Project Management Institution Accreditation (or interest pursuing) considered an asset.
This is a regular, full‑time position with a salary range of $52,864 – $66,080 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
