The Treatment Coordinator (TC) is a pivotal role within the dental practice, serving as the critical link between the patient's diagnosed dental needs and the initiation of treatment. This position is primarily responsible for ensuring patients fully understand their treatment plan, facilitating their decision to move forward, and meticulously managing the professional and ethical financial aspects of their care.
The TC is a primary driver of treatment acceptance, directly contributes to the practice's financial health, and is central to ensuring a positive, seamless patient journey from the initial consultation through to the successful completion of their treatment.
A successful Treatment Coordinator must possess exceptional skills in confident communication, thorough patient education, and accurate documentation. This role is indispensable for achieving high patient satisfaction, maximizing treatment completion rates, and ensuring robust daily revenue performance for the practice.

Core Responsibilities- Present comprehensive treatment plans to patients in a confidential and professional setting
- Verify that all treatment plans and corresponding payment receipts are accurately signed by both the patient and the presenting Treatment Coordinator, and promptly updated within the Denticon software system
- Accurately categorize every treatment plan to allow for effective tracking and follow-up
- Maintain rigorous tracking of all scheduled and unscheduled treatment plans to facilitate follow-up and ensure case completion
- Work closely with providers (doctors, hygienists) and clinical staff to ensure that treatment is rendered precisely as recommended and agreed upon
- Proactively follow up on all outstanding insurance claims to ensure timely payment to the practice
- Maintain professional, routine communication with patients concerning their treatment progress, financial status, and scheduling logistics
- Every patient interaction, whether in-person, by phone, or email, must be logged in Denticon with accurate, detailed notes
- Participate in Morning Huddle
- Dental office experience is REQUIRED
- Knowledge of dental terminology and dental practice software
- Strong communication skills with the ability to educate, guide, and reassure patients
- Organized, detail-oriented, and dependable
- Comfortable working in a goal-driven environment focused on patient care and scheduling success
- A friendly, confident, and empathetic phone presence that patients trust immediately
