POSITION PURPOSE

The Safety Administrative Assistant performs all basic office and administrative tasks to support the efficient running of the Safety Department.

Essential Duties And Responsibilities
  • Perform all duties and responsibilities with Sunland’s Core Values at the forefront.
  • Advocate for safety and follow all safety policies and procedures.
  • Act as liaison between own department/supervisor, other departments, external contacts, clients, etc., arranging meetings and coordinating work.
  • Assist with processing documents, forms, mailings and materials.
  • Create and maintain environmental/safety records via spreadsheets.
  • Record minutes at staff meetings and Department‑wide safety meetings; retain documentation and notes.
  • Maintain confidentiality related to environmental, safety and security issues.
  • Maintain material safety data sheets (MSDS/SDS) database and update MSDS/SDS books for all divisions.
  • Collect, maintain and administer contractor safety performance and qualification records as assigned.
  • Handle worker’s compensation filings, processing and medical status updates.
  • Track training hours and lost‑time accidents to assist the safety program.
  • Prepare reports, spreadsheets and documents as required.
  • Maintain files and records for the department.
  • Answer telephone calls, take messages, respond to questions and direct callers appropriately.
  • Perform basic administrative and clerical functions (filing, copying, binding reports, etc.).
  • Provide mail service for the department.
  • Run miscellaneous errands, pick‑up/deliveries as instructed by supervisor.
  • Perform any other duties assigned. This description is not exhaustive and may change at any time.

This position has no supervisory responsibilities.

Safety
  • This is a safety‑sensitive position subject to the company’s drug and alcohol policy and all OSHA regulations.
  • All employees must wear appropriate personal protective equipment (PPE).
  • Serve as a safety ambassador by complying with federal, state, and local laws; enforce safe work practices and proactively identify and remediate hazards.
Physical Demands and Work Environment
  • Professional office environment using standard office equipment; requires communication in person and over the telephone, interpretation of printed materials and computer screens, attention to detail, and lifting/carrying supplies up to 10 pounds.
  • May be required to work on a project site, exposed to all weather including extreme temperatures.
  • Potential exposure to chemicals, vapors, pollutants, viruses or airborne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines, and dust or debris.
Position Type/Expected Hours of Work
  • Full‑time position. Occasional overtime may be required as needed.

Minimum Qualifications

Education and Work Experience

  • High School Diploma or GED or sufficient experience.
  • Previous industry‑related experience preferred.
  • Strong computer, written and verbal skills required.
  • Strong attention to detail required.
  • Excellent interpersonal skills.
  • Must be fluent in English (speaking, reading, writing).
  • Bilingual:
    Spanish fluency preferred; ability to speak, read, write Spanish is a plus.

Certifications, Licenses, and Registrations

  • Passing a pre‑employment drug and alcohol screening and background check is required.
