Note:
Must be flexible for early mornings/late afternoons and participate in an "on-call" weekend rotation for urgent travel or scheduling changes.
The Executive Administrative Assistant provides high-level administrative support to the Office of the President and CEO or Core Leadership Team (CLT) members. This role requires strong judgment, initiative, professionalism, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality. The position supports executive operations through calendar management, travel coordination, communication support, project coordination, and organizational assistance while collaborating closely with the Assistant to the President and CEO and other internal stakeholders.
Education& Experience
Required Qualifications
- High school diploma or G.E.D.
- 10+ years of executive administrative support experience
- Minimum 5 years supporting CEO, President, C-suite, or equivalent leadership
- Strong ability to manage changing priorities and multiple projects simultaneously
- Advanced proficiency with:
- Microsoft 365 (Outlook, Word, Teams, PowerPoint, Excel), Zoom, VPN systems, Docu Sign
- Experience managing complex calendars, meetings, and executive travel arrangements
- Strong organizational, communication, proofreading, and writing skills
- Experience coordinating events and executive-level meetings
- Bachelor's degree in Business or related field
- Healthcare industry experience
- Knowledge of government healthcare programs such as TRICARE, VA, or Military Health System
- Military background preferred
- Experience supporting executives in high-profile environments
- Manage daily administrative operations for executive leadership
- Coordinate schedules, meetings, appointments, and executive calendars
- Arrange travel, hotels, transportation, and detailed itineraries
- Prepare and manage expense reports
- Handle incoming calls, correspondence, and visitor interactions
- Organize meeting logistics including materials, meal coordination, and room setup
- Draft and prepare business and personal correspondence
- Support executive communications and special projects
- Conduct research and prepare reports or summaries as needed
- Maintain office organization, supplies, and equipment functionality
- Assist with onboarding executive staff and consultants
- Serve as a liaison between executives, internal teams, and external stakeholders
- Maintain confidentiality and professionalism in all interactions
- Perform additional duties as assigned
- Technical Skills
- Strong technical proficiency with Microsoft Office Suite, Zoom, VPN, and Docu Sign
- Ability to operate office and video conferencing equipment
