Operations Assistant — Supporting the Operations Manager | Gates Unlimited | Poway, CA

Status: Full-Time | In Office

Gates Unlimited is seeking an organized, proactive, and detail-oriented Operations Assistant to work directly under and support our Operations Manager in the day-to-day coordination of our gate operations. This role is ideal for someone who enjoys keeping projects moving, managing details, creating order, and helping a team operate efficiently behind the scenes. The Operations Assistant will coordinate schedules, organize documentation, assist production flow, communicate with customers, and help ensure projects are executed accurately and efficiently.

This position will also serve as a liaison with our sister company,
Garage Doors Unlimited
, to assist with scheduling coordination on select projects.

Responsibilities
  • Provide direct administrative and operational support to the Operations Manager
  • Assist with managing a busy operations calendar and scheduling priorities
  • Schedule gate service calls and coordinate project timelines
  • Coordinate scheduling and communication with Garage Doors Unlimited as needed
  • Set up new customers and jobs in CRM software (
    Service Titan experience preferred
    )
  • Create, organize, and maintain job folders and project documentation according to company standards
  • Ensure paperwork and project files are complete and prepared for production
  • Serve as liaison between ownership, Operations Manager, and fabrication team to support production flow
  • Assist in tracking project progress and following up on open items
  • Order materials and coordinate purchasing needs for jobs
  • Communicate professionally with customers regarding scheduling and project updates
  • Support process improvements and assist with additional operational tasks as assigned
Qualifications
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional communication skills
  • Comfortable learning software and managing digital systems
  • Strong follow-through and problem-solving ability
  • Prior experience in administrative support, operations, scheduling, dispatch, project coordination, or service industries preferred
  • Experience with Service Titan is a plus
  • Construction, fabrication, field service, or trades experience is helpful but not required
