Qualifications:
  • High school diploma or equivalent required.
  • Previous administrative assistant or office management experience preferred, preferably in a school district or public sector setting.
  • Strong organizational, multitasking, and time management skills.
  • Proficiency in Microsoft Office, Google Workspace, and office management software.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work collaboratively in a team environment.
  • Knowledge of school district operations and procedures preferred.
  • Previous experience with Skyward Student Management software is preferred

    Objective:
    The District Office Administrative Assistant provides high-level clerical, organizational, and customer service support for the central office operations of the school district. This position serves as a primary point of contact for staff, parents, vendors, and community members and assists in maintaining efficient district operations through accurate recordkeeping, communication, scheduling, and administrative support. The position requires professionalism, confidentiality, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

    Performance Responsibilities:
  • Provide administrative and clerical support to the Superintendent and District Office administrators.
  • Prepare correspondence, reports, agendas, board materials, presentations, and other district documents.
  • Schedule appointments, meetings, and conference room usage for district administrators.
  • Maintain calendars and coordinate district office activities and timelines.
  • Answer phones, greet visitors, and respond to inquiries from staff, parents, community members, and outside agencies.
  • Receive, sort, and distribute mail, deliveries, and district communications.
  • Assist with preparation and distribution of Board of Education meeting agendas and supporting materials.
  • Prepare meeting notices as assigned.
  • Coordinate logistics for board meetings and district committee meetings.
  • Maintain confidential personnel and district records in accordance with applicable laws and district procedures.
  • Responsible for on-boarding/off-boarding of employees
  • Assist with state and federal reporting requirements.
  • Organize and maintain electronic and paper filing systems.
  • Support records retention and document management procedures.
  • Maintain Student Activity Accounts
  • Responsible for maintaining documentation on certain staff procedures items
  • Process purchase orders, invoices, reimbursements, and other district office documentation as assigned.
  • Assist with accounts payable/receivable and budget tracking functions.
  • Maintain spreadsheets, databases, and district reports.
  • Coordinate staffing communications as assigned.
  • Serve as a professional and welcoming representative of the school district.
  • Communicate effectively with administrators, staff, students, parents, vendors, and community stakeholders.
  • Assist with district-wide communications, mailings, and public information distribution.
  • Maintain confidentiality regarding personnel, student, and district matters.
  • Operate standard office equipment and district technology systems.
  • Assist with coordination of district events, trainings, and meetings.
  • Provide backup support for other district office personnel as needed.
  • Occasionally work evenings for Board of Education meetings or District events.
  • Perform other duties as assigned by the Superintendent or designee.
  • Terms of Employment:
    The work year for this position will be a 12 month term. Starting salary will be $25/hour (FY27). Additional compensation based on experience.

    Evaluation:
    Performance will be evaluated by the District Bookkeeper
