Loan Operations Specialist I – Quality Control Shared Services (QCSS)
This is an onsite position at our historic downtown San Antonio headquarters.
SummaryThe Loan Operations Specialist I – Quality Control Shared Services (QCSS) is responsible for supporting accurate, timely, and compliant loan operations through detailed quality control review, documentation oversight, and issue resolution. This role helps maintain the integrity of loan processing activities while supporting the bank's standards for operational excellence, customer service, and regulatory compliance.

Essential Duties & Responsibilities- Review loan applications, supporting documentation, and system data for accuracy, completeness, and compliance with internal policy, approval terms, and regulatory requirements.
- Perform quality control reviews and audits of commercial and consumer loan files to ensure proper documentation, booking accuracy, and readiness for funding.
- Approve eligible commercial and consumer loans for funding in accordance with established procedures and authority guidelines.
- Identify, investigate, and resolve loan-related discrepancies, errors, and documentation exceptions in collaboration with internal partners.
- Prepare reports summarizing quality control findings, trends, exceptions, and recommended corrective actions.
- Support continuous improvement efforts by recommending enhancements to loan processing, quality control, and operational procedures.
- Assist in training team members on quality control standards, documentation requirements, and best practices.
- Enter and maintain collateral information, including tax monitoring records, in applicable systems.
- Process loan payments, conduct payment research, and respond to inquiries from branches, participant banks, and other internal stakeholders.
- Prepare adverse action notices for declined loan applications in accordance with regulatory requirements.
- Review credit activity reports and reconcile loan status activity, including approved, declined, withdrawn, and in-process transactions.
- Process paid loans and facilitate collateral release activities in a timely and accurate manner.
- Research subpoenas, loan servicing issues, and operational exceptions as assigned.
- Provide courteous and professional service when assisting customers and answering incoming calls.
- Support special projects and periodic operational activities, including audit requests, reporting tasks, and system-related processes.
- Monitor insurance coverage requirements for mortgage loans, including force-placed hazard insurance and flood coverage, in accordance with policy and regulatory standards.
- Verify coming-due and past-due notice mailings for accuracy and timeliness.
- Assist with credit and collateral tracking, loan imaging, daily reconciliations, maintenance activities, and escrow setup and disbursement processes as needed.
- Assist with credit disputes, participant bank correspondence, and payment split reporting.
- Support Banking-as-a-Service (BaaS) initiatives and booking-related transaction activities as assigned.
- Carry out responsibilities in a manner consistent with the bank's values, operating principles, policies, applicable laws, and commitment to continuous improvement.
- Perform other duties and special projects as assigned.
- Accurate and compliant loan processing and documentation.
- Effective quality control reviews, audits, and reporting.
- Timely identification and resolution of loan exceptions and discrepancies.
- Support for continuous improvement and operational efficiency.
- Strong service and responsiveness to internal and external customers.

- Minimum:
High school diploma or equivalent. - Preferred:
Bachelor's degree in finance, business, or a related field.
- Strong time management, organization, and attention to detail.
- Analytical skills with the ability to understand financial information and cash flow analysis.
- Working knowledge of commercial real estate, commercial/industrial, consumer lending, and TRID-related practices.
