Team Secretary - Apprenticeship Opportunity

We are looking for a professional, motivated and organised Team Secretary to work within our North Administration Team based at Ferham Clinic. The post holder will provide an efficient, effective and confidential senior admin support service to the Community Mental Health Teams.
The successful applicant will support the Clinical Team by recording new referrals, minuting referral meetings, and booking appointments within our local performance targets. This Band 3 role is not eligible for sponsorship/visa.
If you do not already hold a Level 3 qualification or equivalent experience in a relevant subject, RDaSH are offering this post alongside the opportunity to complete a Level 3 apprenticeship qualification relevant to your role. Apprenticeships include regular training with a college or other training organisation, around 20% of working hours spent training or studying, leading to a nationally recognised qualification.
Mainduties of the job
The post holder will be the initial liaison contact for staff, deal with referrals and correspondence, and ensure effective dissemination of information. They will participate in prioritising admin work, including booking appointments and clinic rooms, take minutes of multi‑disciplinary meetings, and ensure actions are communicated. They will support the Administration Manager and Development Support Team with monitoring data quality issues and data cleansing.
Jobresponsibilities
- Manage multifaceted administrative tasks, including referrals, minuting meetings, booking appointments, and maintaining records.
- Coordinate communication between staff, patients and external stakeholders.
- Ensure data accuracy, manage data cleansing and monitor quality issues.
- Assist in the administration of clinic operations and support the Senior Admin service.
- Level 2 or equivalent qualification in a relevant subject (eg. Business Admin).
- Level 3 in a related subject or willingness to undertake a relevant Level 3 apprenticeship.
- Good standard of education (minimum 3 GCSEs, including English and Maths or equivalent).
- Typing, Word processing or IT qualification or relevant experience.
- Experience working in a busy environment, managing office procedures and workload.
- Experience with filing, photocopying, message‑taking, typing and electronic systems.
- Experience liaising with staff across different disciplines.
- Understanding of confidentiality and security of information.
- Previous NHS or other large public sector experience is an advantage.
- Experience supervising or coaching team members.
- Experience with electronic patient record systems such as Systm One is an advantage.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel).
- Excellent verbal and written communication, negotiation and presentation skills.
- Ability to work as part of a team or independently under supervision.
- Ability to work under pressure, prioritise work and meet strict deadlines.
- Flexible and adaptable approach.
