Our client is looking for an experienced administrator to support the Operations Director of a manufacturing facility; ensuring that the daily admin for factory operations is looked after.

This is initially an ongoing, temp role.

Experience required:
* Proven admin support experience within a manufacturing environment

 
* Ability to use Word, Excel and Powerpoint to a good standard

 
* Clean, UK driving license as you may have to visit other UK sites on occasion

Monday to Friday - 9.00 am to 5.00 pm with a 30-minute unpaid lunch break.

Responsibilities

 
* Manage Senior Operations Director’s electronic diary, assessing priority of appointments and reallocation as necessary.
* Be the first point of contact for Senior Operations Director’s other direct reports and provide them with support and assistance, providing information, answering questions and responding to requests.
* Be the first point of contact for all factory visitors and contractors (e.g. meeting attendees, cleaners, office waste recycling, pest control, vending machine suppliers, office equipment maintenance, etc.), directing them to the relevant point of contact.
* Ensure all visitors and contractors are provided with correct PPE and site access passes, and that they have successfully completed the site safety induction

 
* Answering the phone, forwarding calls and taking messages.
* Liaise with Managers and Team Leaders to record sickness absence and ensure that relevant HR documentation is completed and provided to Head Office for filing. (this will move to HR Manager later in the year).
* Record holiday absences and ensure that Managers and Team Leaders provide completed holiday forms for their teams. (this will move to HR Manager later in the year).
* Support Group HR Director by providing administrative support to recruitment and selection process including communication with candidates, organisation of interviews and collection of onboarding documentation. (this will move to HR Manager later in the year).
* Across both sites, ensure notice boards displaying general HR and Healthy Safety policies and procedures are kept updated and information is well displayed.
* Across both sites, manage meeting room bookings, provision of teas and coffees and lunches. Ensure that meeting rooms are tidied after meetings and cleaned down in line with COVID procedures.
* Across both sites, carry out regular checks to ensure that stock levels of stationery are maintained and raise purchase orders and place orders on suppliers as and when required.
* Across both sites, carry out regular checks to ensure that sufficient stock levels of canteen supplies are maintained. Raise purchase orders and place orders on suppliers as and when required.
* Responsible for maintaining facilities across both sites, liaising with suppliers and negotiating quotes.
* General administrative duties, including but not limited to processing and distribution of incoming post, filing, general correspondence, scanning, archiving and shredding and maintenance of office equipment on site.
* Assist with site Health & Safety compliance under supervision and guidance of Senior Operations Director and Group HR Director
