Location: 1 DNA Way, South San Francisco, CA 94080
Duration: 12-Month Contract (Potential for Extension or Conversion)
Pay Rate: $29.84 $ 41.76/hour (W2)
Position Overview
We are seeking an experienced Senior Administrative Business Partner to provide high-level administrative, operational, and strategic support to senior leadership. This role requires exceptional organizational skills, technical proficiency, discretion, and the ability to manage complex scheduling, events, communications, and cross-functional coordination in a fast-paced environment.
Key Responsibilities
- Expertly manage complex calendar scheduling across multiple time zones
- Maintain and organize shared team drives using Google Workspace
- Utilize internal systems and collaboration tools (e.g., cSuite, virtual platforms) effectively
- Manage relationships with internal and external stakeholders while handling highly confidential information
- Plan and execute large internal meetings, department meetings, and committee sessions
- Coordinate external partner meetings, including preparation and follow-up activities
- Lead planning and execution of internal meetings requiring webcasting and advanced technology
- Independently manage complex team offsites involving multiple locations, travel, and multi-day agendas
- Assist with agenda preparation, meeting materials, and distribution
- Attend internal meetings, take notes, and track action items
- Draft professional email communications on behalf of leadership and teams
- Manage and maintain departmental gSites, Spaces, websites, and newsletters
- Collect and implement feedback for internal communications
- Coordinate office move logistics and collaborate with space planning leads
- Manage candidate interview processes, including hosting, feedback collection, and coordination with Talent Acquisition
- Oversee onboarding logistics to ensure new hires are fully prepared
- Plan and coordinate team-building events and workshops
- Identify relevant training opportunities and organize sessions for the team
- Process vendor and speaker engagements, contracts, and payments
- Maintain accurate and up-to-date department organizational charts
- 57 years of administrative, operations, or project management experience (pharmaceutical or biotechnology industry experience preferred)
- Experience supporting senior leaders or executive management
- Strong ability to multitask, prioritize, and execute tasks independently
- Collaborative mindset with the ability to facilitate team development and cross-functional coordination
- Proven ability to manage confidential and sensitive information with discretion
- Strong attention to detail and commitment to accuracy
- Ability to make independent decisions with minimal oversight
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Sheets, Slides, Meet), as well as tools such as Trello and Zoom
- Familiarity with Genentech organizational structure preferred
- Bachelors degree (BS/BA) or equivalent industry experience
