Description:

Warehouse Administrator
Location: Springfield, MA
Schedule: Monday–Friday, 8:00 AM – 4:00 PM
Pay: $21–$22/hour
Status: Full-Time, Non-Exempt

Training Requirement:
This position requires approximately 2 months of training in Gardner, MA under the Office Administrator Manager. Travel pay will be provided during the training period. Upon completion, the role will transition fully to the Springfield location.

Position Overview

We are seeking a detail-oriented and organized Warehouse Administrator to support daily operations across warehouse, and damages/credit administration. This role plays a key part in ensuring accurate recordkeeping, smooth delivery communication with the buying group, and timely processing of manufacturer credits and damage claims within a fast-paced distribution environment.

Key Responsibilities

Warehouse & Administrative Support

  • Maintain organized records, spreadsheets, and administrative documentation
  • Support general office operations including supplies, mail, and facility coordination
  • Assist in maintaining a clean, safe, and efficient warehouse environment

Damages & Credit Administration

  • Submit, track, and reconcile manufacturer credits and damage allowances
  • Maintain and update credit-tracking spreadsheets and financial records
  • Monitor outstanding credits and follow up with manufacturers as needed
  • Partner with Sales, Service, and Finance teams to ensure accurate processing
  • Maintain detailed documentation for reporting and audit purposes
Requirements:

Qualifications of the Warehouse Administrator:

  • High school diploma or equivalent required; associate degree preferred
  • 1–3 years of administrative, warehouse, logistics, or customer service experience
  • Strong attention to detail with excellent organizational skills
  • Proficiency in Microsoft Office (especially Excel)
  • Ability to manage multiple tasks, meet deadlines, and follow structured processes
  • Strong communication skills and ability to work cross-functionally
  • Able to learn new software and adapt to programs such as ePass and Dispatch Track

Work Environment & Physical Requirements

  • Warehouse environment with varying temperatures and moderate noise levels
  • Frequent walking throughout the warehouse and office areas
  • Ability to lift up to 25 lbs with assistance
