Payroll Manager

Organized, professional, dedicated individual to manage payroll and related client services, recordkeeping and reporting. Supports accounting and other departments.

Key Responsibilities
  • Process and maintain all payroll transaction information for new hires, terminations, leave of absences, transfers, earnings, taxes, child support, tax levies, benefit and other deductions, garnishments, direct deposits, etc.
  • Maintain roles in the payroll system for supervisors, managers and higher levels for timecard approval.
  • Process and maintain all time & attendance information for new hires and transfers to comply with company pay policies.
  • Complete vendor transactions including flexible spending and 401(k).
  • Verify all state and federal taxes and conduct bi‑weekly, monthly, quarterly and yearly reconciliations.
  • Balance all payroll entries and research/resolve payroll issues promptly.
  • Report new hires on a bi‑weekly basis to the state of Florida for all locations.
  • Maintain and distribute all employee W‑2s.
  • Document payroll procedures and determine appropriate workflow.
  • Maintain payroll configuration in Workday to ensure accurate calculations and compliance with state and federal laws.
  • Maintain setup with ADP for wage payments, garnishment processing and tax reporting.
  • Assist with HCM configuration to Workday related to payroll operations; testing, maintenance, security and custom report creation.
  • Prepare and maintain standard and ad hoc reports, queries, and conduct audits to ensure data integrity.
  • Maintain the general ledger within Workday, download GL reports following each payroll, send reports to Accounting and coordinate changes/updates.
  • Maintain active communication with managers to ensure timely payroll information is received bi‑weekly, including personal leaves, time off requests, sick leaves, holiday pay, prior week adjustments and exception reports.
  • Process payments for STD and third‑party LTD when received from vendor partner.
  • Compile third‑party pay tax reporting information for employee and company FICA responsibilities for third‑party income.
  • Assist internal and external auditors on payroll data requests.
  • Maintain and audit PTO accruals and the PTO program for accuracy.
  • Audit and monitor benefit deductions for all plans (Medical, Dental, Vision, Life, LTD, STD, 401(k), etc.) for full‑time and part‑time employees, ensuring appropriate contributions are withheld and remitted via outbound integrations.
  • Administer employee PC purchase process from beginning to loan repayment, follow up with terminated employees, and provide bi‑weekly report to Accounting.
  • Complete quarterly Multiple Worksite Report for the state of Florida.
  • Ensure compliance with federal and state payroll laws (domestic partnerships, taxes, and other requirements).
  • Complete or assist with departmental special projects.
  • Provide expert payroll support as first point of contact for employees on time and attendance, payroll queries, and related issues.
Qualifications
  • Undergraduate degree required.
  • Minimum 3‑5 years’ experience managing the full payroll process and systems administration, or equivalent combination of education and experience.
  • Strong interpersonal and presentation skills; excellent communication with executive management, AVPs, VPs, managers, supervisors, staff, and external contacts.
  • Strong analytical skills, attention to detail, and report proficiency.
  • Ability to research and compile information to increase payroll process proficiency.
  • Ability to present a professional image when dealing with members, co‑workers, management and outside contacts.
  • Certified Payroll Professional preferred.
  • Functional knowledge of the Bank Secrecy Act and other Federal laws (U.S. Patriot Act, Office of Foreign Assets Control, Anti‑Money Laundering, Right to Financial Privacy Act, Bank Bribery Act) preferred.
  • Bilingual (English/Spanish) preferred.
  • Workday experience strongly preferred.
