OverviewThe Facilities Executive is to coordinate the facilities support requirements across the whole campus, reporting to the Facilities Supervisor, and ensuring all facilities‑related administration and documentation are handled effectively.
General Responsibilities and Duties- Assist the Facilities Manager in managing all the facilities related administration and documentation, including, but not limited to:
- Ensuring procurements are carried out in accordance with school policy.
- Monitoring facilities contracts and filing all relevant documents.
- Tracking and managing fixed facilities assets.
- Liaising with government bodies such as NEA, PUB, BCA, etc. to ensure timely application/renewal of all facilities licenses and requirements.
- Liaising with vendors to ensure timely payment and receiving of goods.
- Monitoring of facility booking systems for events.
- Supporting the Facilities Manager in coordinating facilities support across the school.
- Providing facilities support for multiple and concurrent school events.
- Managing room and office facilities fitting requirements for new and A&A building projects.
- Managing ad hoc renovation requirements.
- Performing ad hoc local procurements.
- Supporting the Principal’s School Governors’ (PSG) requests and requirements.
The single point of contact for all requests to rent or use the school facilities, both internally and externally.
- Verify the who, what, where, when, why of all requests to rent or use the school facilities beyond the school's curriculum.
- Perform an initial check to ensure requested use does not clash with any internal bookings.
- Confirm with the COO whether the request can be supported; COO to confirm with ELT if necessary.
- Draft rental contracts and terms and conditions for COO approval.
- Send approved contracts to requesters for confirmation and acceptance.
- Coordinate with Finance Office to send invoices; ensure full payment before deadline.
- Upon full payment, confirm booking and coordinate with requester for ground recce and support requirements.
- Ensure requesters submit detailed personnel and vehicle lists to Admin Manager and Security Supervisors at least three days before usage.
- Send weekly reminder to security office prior to the weekend on all approved usage.
- Follow up with requesters for any issues such as damages or cancellations.
- For repeated bookings, process on a monthly basis; liaise with Finance Office for timely billing.
- Compile a bi‑annual report of facilities rental income.
- Review and improve the facilities booking and rental process regularly.
- Diploma or above in Facilities Management or related field.
- Proficiency in English, both written and verbal.
- Experience in digital transformation in facility management.
- Experience working in a school environment.
- Ability to work well alone and with external vendors.
