PositionThe Coordinator, Market Screenings Sales supports the scheduling, coordination, and operational delivery of Market screenings across multiple venues. This role is responsible for managing screening logistics and scheduling coordination, coordinating communication across departments and venue teams, and ensuring a seamless client experience for Market participants.
The Coordinator plays a critical role in supporting the successful execution of screening operations in a fast-paced, high-volume environment, requiring exceptional organization, diplomacy, multitasking, and attention to detail.
Responsibilities Screening Scheduling & Coordination- Coordinate and maintain the Market screenings schedule across multiple venues and screening rooms, ensuring accuracy and timely updates
- Process and manage screening requests from sales agents, distributors, producers, and other Market clients
- Support the allocation of screening slots based on availability, operational requirements, and client priorities
- Track and manage scheduling changes, conflicts, and updates in real time, ensuring all stakeholders are informed promptly and accurately
- Maintain organized records of bookings, technical requirements, screening materials, and client communications
- Act as a key liaison between Market Screenings Sales and venue teams, including front-of-house staff, technical crews, projection teams, volunteers, and venue managers
- Communicate daily screening schedules, updates, operational notes, and changes clearly and efficiently across multiple teams and venues
- Coordinate screening logistics including tech checks, room turnovers, timing requirements, and operational readiness in collaboration with venue and technical teams
- Ensure all stakeholders receive accurate and timely information regarding schedule changes, client requirements, and operational updates
- Support the centralized coordination of screening operations during the Market and engage appropriate internal teams as required
- Maintain organized operational records and communications to support smooth screening execution across all venues
- Serve as a client-facing point of contact for screening-related inquiries and coordination
- Provide professional, responsive, and diplomatic support to a wide range of clients, including major studios, sales agencies, distributors, producers, and independent participants
- Build strong working relationships through clear communication, discretion, and excellent customer service
- Support clients with scheduling updates, operational timelines, technical requirements, and screening logistics
- Maintain a high level of professionalism and confidentiality when handling sensitive or high-profile information
- Support the Manager, Market Screenings Sales with administrative, scheduling, and operational coordination as required
- Prepare and distribute screening schedules, confirmations, operational reports, and client-facing materials
- Track screening inventory, booking status, and operational timelines to support efficient scheduling and execution
- Assist with data entry and maintenance across CRM, scheduling, and booking systems
- Contribute to process improvements that enhance operational efficiency and client experience

- Bachelor’s degree in Business, Marketing, Communications, Event Management, Arts Administration, Film Studies, or related field (or equivalent experience)
