Job Description

- Running a Tucson regional office

- Placing the orders with the vendors according to the General Manager of the Company requests.

- Receiving and checking shipments with goods ordered from vendors

- Organizing proper and safe storage of the goods.

- Preparing the outgoing shipments according to the General Manager’s request.

- Checking received mail on a daily basis and informing the General Manager on all the incoming mail. Updating the table of the mail received and e-mailing to the General Manager.

- Opening all the official and other mail addressed to the company excepting the bank and credit card account statements. Scanning, archiving and sending via e-mail the most important mail according to the General Manager’s

- Making and answering phone calls and other necessary

- Writing and mailing letters and similar correspondence on behalf of the company if and when necessary and when General Manager is out of the office;

- Checking all received invoices and writing checks (goods, utilities, other services, office rent, office cleaning, ordered equipment and other);

- Informing General Manager about paid invoices as a part of Daily Reports;

- Informing the General Manager by e-mail or by fax regarding all important documents or mail, which will need his response, or decision making, or “green light”, or signature or similar;

- Communicating to the authorities regarding official matters on behalf of the General Manager when necessary for and renewing licenses and similar documents (City of Tucson, etc.):

- Communicate with the Landlord, maintenance, neighbors, etc., when necessary;

- Providing daily operation of the office (controlling working hours, office expenses, providing office supplies, office cleaning, etc.) ;

- Informing the General Manager and company’s accountant on receiving any document or any form related to taxes is shortest possible time;

- Will cooperate with banking authorities if necessary (transactions, wiring etc), but only with manager owner’s request and with his confirmation;
