Job Description

Primary Responsibilities:

  • Provide support for incoming calls.

  • Order supplies, marketing material, stationary and equipment maintenance for office and field.

  • Greet and provide general support to visitors in a professional, friendly, hospitable manner.

  • Scheduling meetings and appointments within the office.

  • Organize and maintain aesthetics of office.

  • Maintain company vehicle driver list. Ensure registrations, state inspections and services are up to date on all vehicles.

  • Receive and sort mail and deliveries, prepare outgoing packages, schedule pickups, and drop off packages as needed.

  • Ensure all business licenses are up to date and copy on file.

  • Assist accounting department in general accounts payable responsibilities.

  • Assist with planning/organizing in-house or off-site activities, such as company parties, celebrations and conferences.

  • Enter contracts and change requests into Procore.

  • Distribute weekly project submittals.

  • Filing, copying and providing assistance to staff.

  • Compile O&M’s at project closeout.

  • Purchasing inventory for our apartment renovation projects.

  • Assist Controller with employee onboarding.

  • Performs other duties as assigned from time to time by Controller, President and Owner.

  • One-year Construction project related experience(Preferred).

  • One-year basic accounting and administrative experience.
  • Must be proficient in Excel, Word, and Outlook.
  • Knowledge and familiarity with Procore a plus.
  • Verifiable references.
