Position: Coordinator for Student Activities
Job Description:

The Coordinator for Student Activities focuses on advancing the mission and impact of the Student Activities Office (SAO) and the Stephen Robert ’62 Campus Center, providing critical student advising and operational management functions. This role plays a key part in shaping the student experience by advising student organizations and designing and delivering comprehensive onboarding and leadership development initiatives.

This dual-focus role leads departmental communications, streamlines event registration workflows, and provides high-level mentorship to a portfolio of 30 student organizations. Reporting to the Associate Director of Graduate Student Activities and Leadership, the Coordinator manages complex systems and high-volume operations that support approximately 500 student organizations and 1,500 events annually, ensuring efficiency, compliance, and a high standard of service across all activities.

In their advisory capacity, the Coordinator provides high-level mentorship to foster organizational excellence, leadership growth, and meaningful campus engagement.

The Coordinator manages student organization infrastructure, including data systems and Google-based platforms, and leads the administration of the event registration process, integrating cross-functional coordination with campus partners such as security and facilities. They also drive Student Activities Office communications and develop robust training programs that equip student leaders with the skills and knowledge to succeed.

This position also manages all primary communications for the SAO main office and is responsible for the recruitment, supervision, and development of a diverse team of student employees and part-time professional Evening Event Managers (EEMs).Job Qualifications

Education and Experience Bachelor's degree and 2-4 years of professional experience in higher education, student affairs, high-volume event management, or project coordination (or an equivalent combination of education and experience).Demonstrated experience supervising student staff or part-time employees is highly preferred.

Proven experience navigating complex logistics, venue scheduling, and vendor coordination within a large organizational setting.

Familiarity with student development theory or experience working directly with collegiate student organizations is preferred.

Job Competencies Exceptional organizational and administrative skills, with a proven ability to manage high-volume workflows while maintaining meticulous attention to detail.

Ability to interpret institutional policies and legal requirements (such as hazing prevention and liability) and apply them consistently to student-led activities.

Adept at multitasking, prioritizing workloads, and following through on projects with competing deadlines while maintaining attention to detail.

Strong written and verbal skills, including the ability to draft professional departmental communications and facilitate training sessions for large, diverse audiences.

Customer-focused and service-oriented, with the ability to anticipate, understand, and respond to the needs of students, faculty, staff, and external stakeholders.

Proven ability to handle sensitive information and high-pressure situations with confidentiality, maturity, and sound decision-making.

High level of fluency in Google Workspace and Microsoft Office. Demonstrated experience with data platforms (such as Qualtrics) and CRM tools (such as Salesforce) is highly desirable.

Maintains strict confidentiality and exercises discretion in handling sensitive information in accordance with University policies.

Highly collaborative with the ability to build trust-based relationships with students, faculty, and campus partners (Facilities, Security, etc.) while navigating complex institutional hierarchies.

Resilience and flexibility in a fast-paced, student-facing environment, including the willingness to work non-traditional hours (evenings/weekends) during peak academic cycles.
