The first six weeks will be hybrid on site, in Westbrook, Maine for three day s per week. Once training is completed, the hybrid requirement is to be onsite in Westbrook, Maine two day s per week.

Job Summary
The Veterinary Software Business Services & Subscription team is seeking a Customer / Business Support Specialist to support growing business demands through a combination of order entry, contract processing, and billing-related customer service. This role ensures accurate and timely billing of Veterinary Software products and services, responds to customer inquiries, processes contracts, maintains audit-compliant records, and supports billing operations across the customer lifecycle.
Key Responsibilities
Customer Billing Support
- Serve as the primary contact for Veterinary Software billing inquiries.
- Provide Tier II support for software subscription billing issues.
- Track and document all customer interactions and tasks.
- Review and process contracts for accuracy, completeness, and compliance.
- Ensure adherence to audit standards, financial guidelines, and company policies.
- Enter and maintain contract data in internal systems.
- Manage electronic filing and archiving of contracts, proposals, budgets, and project documents.
- Obtain required approvals and resolve project-related billing discrepancies.
- Process billing transactions including entries, credits, cancellations, and adjustments.
- Maintain and update customer subscription information.
- Reconcile invoice discrepancies and coordinate resolutions with internal teams.
- Perform data management and reporting using Excel.
- Support billing process design, workflow improvements, and data integrity initiatives.
- Collaborate with leadership and cross-functional teams.
- Participate in UAT testing for new processes and large-scale projects.
- Document billing procedures to improve efficiency and accuracy.
- Strong customer service, interpersonal, and communication skills.
- Ability to explain technical issues to both technical and non-technical users.
- Comfortable handling billing discussions and challenging customer conversations.
- Strong analytical, problem-solving, and deductive reasoning abilities.
- Excellent attention to detail and organizational skills.
- Intermediate Excel skills (SUM, VLOOKUP/XLOOKUP).
- SAP experience for order entry/reporting preferred (training provided).
- Experience with process improvement, document management, and record keeping.
- Ability to multitask, work independently, adapt to change, and collaborate within a team.
