• Drafting and filing of basic Corporate Secretary documents for maintenance of corporate subsidiaries throughout Latin America, and/or reviewing such documents prepared by outside counsel, for example: Powers of Attorney or Board Resolutions.
• Managing the Corporate Secretary process for Mexico and other countries throughout the region, for example: interacting with Notary Publics, coordinating signatures throughout the US and Mexico, coordinating registration of documents at the Public Registry of Commerce.
• Managing our GEMS database (Global Entity Management System) for Latin America, for example: assuring documents are properly filed, coordinating retention of documents, interfacing with paralegals from our outside counsel firms in other countries).
• Managing our Bridgeway e-Counsel electronic invoicing and payment system, for example: generating data reports, entering manual invoices into system, coordinating e-billing with outside counsel firms.
• Coordinating payment of invoices with different stakeholders, for example: working with Accounts Payable in every country to make sure invoices are paid locally, sending comments to firms about invoices that have been rejected or are subject to review.
• Providing general administrative assistant support, for example: preparing expense reports, arranging travel, scheduling meetings and conferences, and handling logistics of trips etc.
Basic Qualifications :
Experience Required:
• Minimum of 3 years of corporate paralegal experience or 5 years of administrative experience in Legal Department; preferably with companies or firms in the Latin America region.
• Must be familiar with legal documents and the legal field in general.
Desired Qualifications:
• Formal paralegal training or certificate preferred. Four year Bachelor’s degree or credit equivalent preferred.
• Demonstrated proficiency with Microsoft Office Suite, Lotus Notes, SharePoint and database management, generally, is required.
• Must have the ability to grasp financial concepts, budgets, reserves and track financial metrics.
• Familiarity with our in-house e-billing (Bridgeway) and corporate subsidiary maintenance (GEMS0 systems is preferred, but specific training on those systems will be provided.
• In addition, candidate must demonstrate: strong intellect; excellent verbal and written communication skills; high energy, strong work ethic, ability to manage multiple priorities; quantitative skills necessary to track metrics on cases and costs and uncompromising ethics.
• Prior administrative assistant and/or paralegal experience, specifically in the areas and job duties identified above.
• Fluent in English and Spanish (with additional Portuguese language skill preferred).
• Experience and ability to organize and manage numerous electronic and paper files.
• Candidate must be willing to work some overtime on occasion, demonstrate “team player” qualities, possess excellent organizational and time management skills, evidence an attention to detail and assimilate into the Company’s environment with relative ease.
• Some travel may be required.
Moreover, the employee’s manager will be co-located in Weston, Florida and in Milwaukee, Wisconsin and will be travelling frequently. Accordingly, the ideal candidate will demonstrate a strong ability to work as a self-starter and be comfortable with a non-resident manager.
