Job Description:
SUMMARY:
The Academic & Faculty Affairs Coordinator to the Provost to the Provost provides administrative and operational support for the Office of the Provost and coordinates faculty affairs processes across Academic Affairs. The position assists the Provost and manages confidential faculty tenure processes, supports strategic initiatives and institutional operations, coordinates major academic affairs projects and events, while serving as a contact for faculty, staff, students, and visitors in the Provost's Office.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Coordinate tenure, promotion, reappointment, and faculty review processes, including organizing and managing review materials, soliciting external and student letters, scheduling meetings, and maintaining review timelines.
* Maintain confidential faculty files and records.
* Coordinate tenure-track, visiting, and part-time position requests and faculty searches
* Issue faculty contracts and appointment letters in coordination with Human Resources and relevant academic administrators.
* Draft correspondence related to department chair and endowed chair appointments, leaves, and other personnel matters.
* Coordinate with Academic Budget and Data Analyst on start-up budgets or other budget considerations.
* Work with Budget Analyst to produce faculty salary letters annually
* Manage faculty leave processes, including research and study leave requests and related documentation.
* Manage course evaluations
Provost Office Operations
* Manage the Provost's calendar, scheduling, and administrative workflow.
* Coordinate meetings for Academic Affairs leadership, including agenda preparation, meeting logistics, and distribution of materials.
* Coordinate office operations, records management, and administrative processes within Academic Affairs.
* Maintain faculty office assignments and oversee other related logistics
* Order office supplies and ensure maintenance of office equipment for Academic Affairs Office & Lilly House
* Update and maintain Course Planning and Teaching Load documents
* Oversee software subscriptions for the office, ensuring cost?effective use, timely renewals, and alignment with operational needs.
Strategic Projects and Responsibilities
* Coordinate major Academic Affairs events, including faculty orientation, faculty workshops, recognition events, meetings, and other institutional programs.
* Oversee the creation of digital newsletters, presentations, announcements for the Office as well as website design and updates
* Prepare agendas and minutes for Faculty Meetings, Board committees, and other academic governance groups as assigned.
* Prepare agenda and produce minutes for the Mission and Outcomes Committee of the Board of Trustees

EXPERIENCE:
* Bachelor's degree and at least five years' experience in a related administrative position.
