Position:  Contract Administration Specialist
Contract Administration Responsibilities:
• Coordinate with Marketing Staff commercial and contractual administration for existing Kawasaki Projects.
• Prepares invoices to Transportation Authorities/Clients for the payment of contractual milestones
• Preparation of Contractual Change Order documentation and assistance with negotiations with Transportation Authorities/Clients.
• Administration of Production Cars and Spare Parts delivery, including internal coordination, coordination with supplier, shipping arrangements and acceptance for Transportation Authorities/Clients.
• Work with Contract Manager in preparation of DBE report to Federal, State and Local Agencies.
• Work with Contract Manager in Client negotiations on commercial issues and tasks.
• Prepare and publish monthly, quarterly and annual reports to Company Executives and Clients.
• Monitor interdepartmental material control and material management process to ensure delivery to Clients.
• Coordinate Company Management meetings as well as Client meetings.
• Participate with Marketing Staff on Request for Proposals (RFPs)
• May represent Kawasaki in trade shows, conferences, forums and organized symposiums.

Assisting Research and Compilation of Commercial Information for Request For Proposal (RFP) s:

• Assist in market research and provide data and reports as requested.
• Attend meetings on specific objectives and tasks as assigned.
• Assist Contract Manager in conducting presentations for both existing and future clients.
• Assist in preparation and submittal of Company RFPs.
Position Requirements
Bachelor,   3 to 4 Years work experience
Qualification:

Associates or Bachelor’s degree. Previous experience working in Contract Administration and/or Project management.   Must be able to coordinate administrative activities and effectively meet project deadlines.  Must be capable of maintaining an orderly user-friendly electronic and paper filing system.  Must be well skilled in the use of Microsoft Excel Spreadsheets, Microsoft Word and Power Point.  Must be knowledgeable of cost information including bids, payment requisitions, reporting systems and change orders.  Must be a self-starter, have strong problem-solving skills, and good verbal and written communication skills.
