Role OverviewWe’re seeking a Project Assistant & Admin Support to help coordinate and streamline the execution of our large-scale B2B music projects. You’ll support project managers in organizing files, maintaining documentation, and ensuring the smooth operation of internal workflows.
Your main focus will be assisting with project management and organization tasks related to B2B projects, while also providing light administrative and creative support across teams when needed.
Key Responsibilities Project Assistance & File ManagementSupport the management of large B2B music projects (e.g., MIDI production, transcription coordination).
Organize and maintain structured file systems for client projects and internal archives.
Assist in preparing documentation, guidelines, and explanatory materials for ongoing projects.
Help track project progress and deadlines using spreadsheets and project management tools.
Administrative SupportCreate and maintain spreadsheets for process optimization, project tracking, and accounting calculations.
Compile and organize transcriber team work hours and assist in preparing monthly invoice calculations.
Support internal reporting and data validation for payments and project metrics.
Music-Related & Creative TasksProvide occasional support to the Customer Service team on B2C music and editorial projects.
Assist with cataloging and score organization tasks in collaboration with the Catalog and Content teams.
Support onboarding processes with documentation and light administrative assistance.
Collaborate with the Design and Content departments to create simple visual documents or layouts using Canva or similar tools.
Required Qualifications Education & Experience- Bachelor’s degree in Musicology, Cultural/Musical Management, Business Administration, or a related field.
- Prior experience in administrative or project coordination roles is a plus.
Solid command of spreadsheet tools (Excel, Google Sheets).
Basic familiarity with digital music formats and file management.
Experience with project or task management tools is a plus.
Strong organizational and multitasking abilities.
Excellent written communication and attention to detail.
Proactive and curious mindset – eager to learn and explore new tools and methods.
Ability to work both independently and collaboratively.
Proficiency in English, Spanish or Catalan.
