HealthCare Virtual Scheduler

Overview
We are seeking an experienced Virtual Scheduler to support GI dietitians with appointment coordination, patient registration, and insurance verification. This role requires healthcare scheduling experience, strong attention to detail, and fluency in English and Spanish.

Key Responsibilities

• Schedule and coordinate virtual appointments based on provider availability and patient preferences

• Register new patients and update demographic and insurance information in the EMR

• Verify insurance eligibility and obtain required referrals or authorizations

• Send reminders, confirm attendance, and manage cancellations, reschedules, and waitlists

• Provide telehealth access instructions and troubleshoot basic technical issues

• Monitor no-shows and follow up to reschedule

• Coordinate with GI providers and dietitians regarding care plans and referrals

• Document all scheduling notes and patient communications in the EMR

• Maintain HIPAA compliance and patient confidentiality

• Assist with reporting, visit tracking, and identifying scheduling trends

• Answer incoming calls and direct patient inquiries appropriately

Qualifications

• Minimum 2 years of scheduling experience required

• Minimum 2 years of healthcare experience preferred

• Fluent in English and Spanish required

• Experience working in an EMR system

• Strong organizational skills and attention to detail

• Professional phone communication skills in a U.S. healthcare setting

• Ability to multitask and work independently
