This role is not administrative in nature — it is strategic support at the highest level of the company.
The Executive Assistant will serve as a trusted partner to the CEO and executive team, ensuring operational excellence, communication precision, governance discipline, and seamless coordination across board members, investors, clients, and internal stakeholders.
The ideal candidate understands executive rhythm, board dynamics, private equity environments, and operates with discretion, speed, and judgment.
Key Responsibilities
Executive & Strategic Support
· Serve as primary support to the CEO and provide coordinated support to CFO, CPO, and CTO.
· Manage executive calendars with strategic prioritization aligned to business impact.
· Prepare executive briefing materials, meeting summaries, and follow-ups.
· Draft and edit executive communications in both English and Spanish.
· Support preparation for Board meetings, investor updates, and leadership forums.
Board & Private Equity Interaction
· Coordinate logistics and documentation for Board meetings.
· Manage communication flow between executives, board members, and investors.
· Understand governance cadence, confidentiality standards, and PE reporting discipline.
· Assist in compiling materials related to financial updates, performance dashboards, and strategic initiatives.
Client & External Stakeholder Coordination
· Support high-level interactions with enterprise clients.
· Coordinate executive participation in client meetings, strategic reviews, and external forums.
· Ensure professional follow-up and continuity of commitments.
International Logistics & Executive Operations
· Coordinate international travel logistics (flights, visas, accommodations, agendas).
· Prepare executive itineraries with contextual briefings.
· Organize high-impact executive meetings (internal and external).
· Manage sensitive documentation with strict confidentiality.
Organizational & Cultural Impact
· Act as an internal connector across regions (US, Mexico, LATAM).
· Bring structure, order, and execution discipline to executive operations.
· Support cross-functional initiatives when required.
Profile & Qualifications
Experience
· 10+ years supporting C-level executives, preferably CEO-level.
· Experience in private equity-backed companies strongly preferred.
· Exposure to board environments and investor communication.
· Experience in multinational or technology organizations.
Skills
· Fully bilingual (English/Spanish) with exceptional written and verbal communication.
· Strong executive presence and professional maturity.
· High discretion and confidentiality.
· Advanced calendar and priority management.
· Ability to anticipate needs and operate proactively.
· Strong synthesis capability for meeting minutes and executive summaries.
· Comfortable managing ambiguity and high-pressure situations.
