Job Description
We are looking for a reliable, well-organized, and detail-oriented Office Manager to join Influencity and support the day-to-day administrative and operational needs of the company.
This is a support-focused role , ideal for someone who enjoys keeping things organized, following up on tasks, and helping teams work smoothly together. You will take care of administrative tasks, client invoicing and payment follow-ups, supplier payments, and general coordination, while acting as a friendly and trustworthy point of contact for the team.
We are a flexible, people-first company and we are looking for someone who values structure and responsibility, but who also feels comfortable in a calm, trust-based, and collaborative environment . This is not a high-pressure or senior managerial role, but a key support position that helps everything run smoothly.
This position will initially be part-time , with flexible working hours. The scope of the role may evolve over time depending on company needs and mutual fit.
We work under a flexible hybrid model . Most tasks can be done remotely, but occasional on-site presence at our Madrid office will be required to support office-related needs or specific moments depending on the company’s rhythm. On-site attendance is not fixed or weekly.

Key Responsibilities
Support day-to-day office and administrative operations.
Handle client invoicing and follow up on pending payments.
Manage supplier invoices and payments.
Keep administrative, financial, and client records organized and up to date.
Coordinate with our external accounting and administrative agency.
Organize and maintain digital and physical documentation.
Provide administrative support to the team when needed.
Support basic HR-related tasks and internal processes.
Help coordinate internal activities, events, and team initiatives.
Provide punctual on-site support when required under the hybrid model.
Act as a supportive point of contact that helps keep the team connected and aligned.
# The Skillset (Must-have)
Experience in office management, administration, or operations roles.
Experience with invoicing and payment follow-ups.
Organized, detail-oriented, and reliable.
Strong sense of responsibility and follow-through.
Comfortable working independently and managing routine tasks.
Clear and professional communication skills.
Fluent in Spanish and English.
Available for an initially part-time role .
Available for occasional on-site presence in Madrid .
