Office Manager – Madrid (Full Time, Permanent)
As an Office Manager you will facilitate board/management and employees in the Office of Madrid on all administrative matters, reception, organizing meetings, office supply management, IT and Telecommunication support, renting cars, etc.
Your Tasks- Responsible for organizing all of the administrative activities that facilitate the smooth running of the office. Take care for all office equipment, relevant records are up to date (IT equipment, Telephones, RCD, meeting room calendar, access to the office, office supply management, etc.) and that all office management processes work effectively.
- Handle inventory and ordering of office supplies, kitchen items, and other incidentals necessary for office operations.
- Maintain the office condition and arranges necessary repairs.
- Run major office projects, such as renovations, installations, and office design initiatives.
- liaise with facility management vendors, including cleaning, catering and security services.
- Manage corporate communications locally: preparing office mailings, supervising the internal corporate news channel and updating news in it .
- Supervise the reception area to ensure effective telephone and mail communications, both internally and externally, to maintain a professional image.
- Support special events such as internal meetings and site visits/tours .
- Excellent written and oral communication skills (Spanish, English, German preferred) with the ability to communicate alongside different management levels
- Flexible and problem solving
- Client and Service orientated
- Ability to cope with complex matter and high time pressures
- Ability to innovate in order to respond to challenges
- Commercial training and/or training as a foreign language correspondent
- Min 5 years professional experience in the assistance area with international background preferred
- Organizational skills with attention to detail while at the same time being able to handle many tasks at the same time being able to prioritize
- Great judgment capabilities, confidentially & discretion, diplomacy as well as interpersonal understanding
- Reliable, self-driven, structured and target focused working attitude being able to work independently however with a strong team spirit
- Very good knowledge of Word, Excel, Sharepoint, MS Teams, One Note und PowerPoint as well as SAP
