Operations Specialist - Business Aviation

Role Overview :
The Operations Specialist is responsible for providing first-line operational support to UAS clients and aircraft operators, managing trip requests from initial inquiry through successful completion. The role requires close coordination with clients, vendors, and internal stakeholders to ensure the seamless delivery of trip support services while maintaining the highest standards of operational excellence and customer service. This is a fully remote contract position.

The successful candidate must be a fluent Spanish and English speaker and capable of supporting international flight operations across multiple time zones.

Key Responsibilities:

• Receive and acknowledge new requests and prepare trip files, ensuring all required operational information has been received and documented accurately.

• Liaise with Flight Planning as required to define planned routing and verify operational requirements using company systems and tools.

• Prepare and submit permit, PPR, slot, ground handling, and fuel requests while coordinating with global vendors and service providers.

• Ensure selected agents and vendors are suitable for the required services and comply with company standards and policies.

• Prepare comprehensive handovers for subsequent shifts in accordance with operational procedures.

• Monitor client flights in real time and provide proactive flight watch support throughout all stages of the operation.

• Provide clients with regular status updates regarding permits, approvals, confirmations, and operational developments.

• Prepare and deliver detailed flight briefing packages in coordination with Flight Planning where applicable.

• Process all client requests in accordance with international regulations, statutory requirements, company SOPs, and operational best practices.

• Coordinate closely with Civil Aviation Authorities (CAAs), FBOs, handlers, agents, fuel providers, and other third-party vendors to ensure successful trip execution.

• Maintain accurate operational records to support service delivery, reporting, and client billing requirements.

• Communicate professionally, promptly, and effectively with clients, vendors, and internal stakeholders.

• Utilize company systems, operational platforms, and databases to ensure information accuracy and operational efficiency.

• Respond to client inquiries regarding operational feasibility, regulatory requirements, and trip support services.

• Identify alternative solutions when client requests cannot be accommodated and proactively seek the best possible outcome for the client.

Required Qualifications:

• Minimum 3 years of hands-on experience in Trip Support Operations within the business aviation industry.

• Fluent Spanish and English speaker (mandatory).

• Previous experience coordinating international flight operations, including permits, slots, PPRs, ground handling, and fuel arrangements.

• Strong understanding of international aviation regulations, permit requirements, airport procedures, and operational compliance.

• Experience coordinating with CAAs, FBOs, handlers, agents, and aviation service providers globally.

• Ability to work independently in a remote environment while managing multiple priorities across different time zones.

• Strong organizational, problem-solving, and communication skills.

• Proficiency in aviation operational systems, trip support platforms, and Microsoft Office applications.

• Detail-oriented with the ability to perform effectively in a fast-paced operational environment.

Preferred Qualifications

• Previous experience in a Trip Support, Operations Specialist, or Flight Operations role within business aviation.

• Experience supporting operators across Europe, Latin America, the Middle East, or other international regions.
