Executive Assistant to CEO

KLN Marketing | Full-time
We are a founder-led D2C marketing and advisory business supporting performance-driven eCommerce brands across Europe and international markets.
We work hands-on across paid media, funnels, and creative strategy, operating with a small, senior team of ~8 people in a fast-paced, execution-focused environment.

We are entering a clear scale phase in 2026, increasing marketing volume and internal complexity. We are looking for an exceptional Executive Assistant to work directly with our Founder & CEO and help structure, protect, and multiply his time and decision capacity.

This is not a traditional, task-only admin role. While the position includes classic EA responsibilities such as travel planning, personal logistics, and high availability, the core purpose of the role is to protect the CEO’s time, focus, and decision quality at all times.

The Role
You will manage all inbound communication to the CEO, including email, messaging, and internal requests. You will fully own the CEO’s calendar, ensuring meetings are intentional, high-value, and aligned with sales, growth, leadership, and strategy. You will prepare decision briefs, track outcomes, and ensure execution across the leadership team.

You will be the first point of contact for internal requests, and you will be able to push back on unclear or unnecessary escalations and route items to the right owner or team lead. You will help raise the standard of thinking across the business by requiring context, recommendations, and accountability before anything reaches the CEO.

This role requires confidence, judgment, and the ability to say no for the CEO when needed.

Key Responsibilities
Manage and filter the CEO’s email, messages, and internal communications
Own and manage the CEO’s calendar and meeting priorities
Prepare clear decision briefs with context, options, and recommendations
Track decisions and ensure follow-through by the appropriate owners
Act as a gatekeeper for internal requests and escalations
Prepare the CEO for meetings and capture actions and outcomes
Support travel, scheduling, and preparation as required.

You enjoy ownership, responsibility, and high standards
This role requires prior experience in a founder-led, fast-paced environment and is not suitable for task-only assistants.
You are fluent in  English and German  (written and spoken).
Spanish is a strong plus  and considered ideal given our Barcelona-based environment.

Location
This role is  not remote .
Candidates must be based in Barcelona or willing to relocate to Barcelona. Relocation support can be discussed for exceptional candidates.

Compensation & Contract
Competitive, senior-level compensation based on experience.
This role is structured as a  long-term freelance contract  (full-time commitment), with clear expectations, stability, and growth opportunities as the company scales.
