We are seeking a passionate Office Manager to join our rapidly expanding global commercial organization. As a key member of the Spanish team, you will play a crucial role in supporting the Iberian Leadership Team and lead the office management of our affiliate in Madrid. This is an exciting opportunity to join a fast‑paced environment, collaborate with cross‑functional, global teams working together to achieve extraordinary results.
You will report directly to General Manager, Iberia, who is based in Madrid, Spain. You will be based in the Madrid office.
Key Responsibilities- Proactively support our rapidly growing and active leadership team concerning all organizational and administrative tasks
- Collaborate on multiple projects, and demonstrate energy for juggling multiple activities at once
- Establish yourself as primary contact person for employees of the Madrid office and field teams
- Plan and organize appointments, meetings, conferences, travel, events, etc. in the office and externally
- Organize external events with customers (e.g., expert meetings, educational encounters, sponsor ships), as well as internal events (e.g., sales meetings), collaborating with Medical Affairs, Market Access, Commercial, Marketing, etc. Establish, maintain, and optimize office workflows and processes
- Support on Day‑2‑Day of Leadership Teams’ expenses, submitting/tracking POs, invoices, travel logistics, etc.
- Interface with HR, Finance, IT, and compliance departments
- Help make the office a welcoming atmosphere: employees on‑boarding, internal communication, maintaining office supplies and organizing team meals, all to create a vibrant working atmosphere
You hold a relevant academic degree and 3+ years of experience within office management.
- Strong communication and organizational skills
- High level of Spanish and English language skills in speaking and writing
- Excellent user knowledge of common Windows Office applications, especially Outlook and Power Point
- High level of curiosity and a passion for learning new skills and areas
You are a strong team player, service‑minded, and have a can‑do attitude.
You love to help and support others and know how to make things happen in an entrepreneurial, open environment where innovation and change happens rapidly.
The right candidate is forward‑thinking, problem‑solving and someone who is able to keep several “balls in the air with ease” (even in stressful situations).
We also expect you to possess great self‑management skills, to be structured, and to pay strong attention to detail.
