Descripción del trabajo
The Document Controller manages the technical documentation lifecycle across Corporate and Projects. The primary focus is the validation, structuring, and registration of technical documentation within the Document Management System.
By enforcing strict naming conventions and metadata standards, the role ensures that all information is accurate, traceable, and available to support project execution, asset integrity, and long-term operations.
Main Accountabilities
Information Management: Administer the document flow between SharePoint (daily collaboration) and the Document Management System.
Project Documentation Management: Manage documentation across all project phases, including development, engineering, and construction. Ensure that all deliverables are properly registered, tracked, and controlled in line with project requirements.
Document Control: Ensure all documentation is correctly organized, classified, and linked to the corresponding asset, project, or discipline. Guarantee that:
Only the latest approved versions are available
Version control and status tracking are consistently applied
Review and approval workflows are properly managed
Access & Permissions: Control user access rights to ensure sensitive or restricted documents are handled appropriately according to security protocols.
DMS Structure Support: Assist departments or new projects with the creation and maintenance of DMS structures, data storage areas, and folder hierarchies.
Document Management Support: Support technical and project teams in locating and retrieving documentation, and in understanding document requirements and processes.
Reporting: Provide clear status updates on documentation progress, metadata quality, and compliance with established standards.
Compliance & Audit: Ensure documentation complies with internal procedures, contractual obligations, and regulatory requirements. Provide audit trails and technical documentation during internal and external audits.
Academic Background
Strong understanding of technical documentation standards and Quality Management principles.
Ability to interpret engineering drawings and manage complex technical metadata.
Familiarity with industry standards like ISO 19650 is recommended.
Experience
Demonstrated experience (3+ years) in Document Control within Offshore Wind, Energy, or heavy industry sectors.
Experience in:
Project environments (engineering, construction, EPC/EPCI)
Documentation lifecycle management, including project delivery and handover
Exposure to both corporate and project environments is desirable.
Other Requirements
Advanced proficiency in professional Document Management Systems (DMS); experience with Business Collaborator is highly desirable.
Strong command of SharePoint Online and Office 365 tools.
Methodical approach with high precision in version control and data consistency.
Ability to work across multiple projects and stakeholders in parallel.
Strong communication skills to support coordination between teams, contractors, and departments.
Proactive mindset with focus on standardization and process improvement.
