Pave Talent is hiring on behalf of a rapidly growing, female-owned design and construction firm specializing in high-end residential renovations throughout San Diego. Projects span Rancho Santa Fe, La Jolla, and Encinitas.

About the Role

You'll be the systems backbone keeping multiple renovation projects organized, financially controlled, and running smoothly behind the scenes. This is a desk-first, process-driven role designed to free up field teams to focus on execution while you maintain complete operational control remotely.

What You'll Be Doing

Project Coordination & Systems Management

- Set up and maintain all projects in Job Tread, keeping schedules, documents, timelines, and records current and inspection-ready
- Transform raw spreadsheet data into client-ready presentations and approvals
- Coordinate daily site photo uploads, inspection scheduling, and closeout documentation
- Manage change orders from subcontractors quickly and accurately
- Maintain and enforce Standard Operating Procedures (SOPs) to bridge field and office teams
- Support weekly reporting and provide leadership with clear project visibility

Purchasing & Spend Control

- Own centralized purchasing for all materials including tile, mirrors, vanities, custom cabinetry, and fixtures
- Place orders with vendors, track delivery timelines, and flag long-lead items to prevent delays
- Reconcile purchases against project budgets and approvals with complete visibility into spend
- Centralize credit card usage and expense tracking across projects
- Manage vendor paperwork, insurance documents, and compliance

Invoicing, Billing & Financial Tracking

- Drive the client invoicing process by managing construction draw schedules and material billing workflows — this is the single biggest operational pain point you will solve
- Process and send change orders promptly to keep project cash flow healthy
- Input estimate data into Job Tread and generate client-facing outputs
- Flag cost risks before they become problems

Compliance & Documentation

- Maintain all subcontractor COIs, permits, and contracts
- Support weekly safety logs and OSHA compliance documentation
- Ensure all documentation is inspection-ready at all times

This Role IS:

This Role is NOT:

❌ A site supervision, field leadership, or Superintendent role

❌ Responsible for managing subcontractors in the field

❌ A client-facing decision authority or a stepping stone into field execution

What You Bring

Required:

- Bilingual English & Spanish (written and verbal) — non-negotiable
- 2+ years in project coordination, operations, or administrative roles
- Strong comfort with project management software and ability to learn new systems quickly
- Exceptional organizational skills managing multiple projects and competing priorities
- Self-directed work style — you work independently and make sound decisions without constant oversight
- Financial mindset — comfortable with invoicing, budgets, and spend tracking
- Based in Tijuana with a valid US tourist visa and ability to travel to San Diego 1–2 times per month

Preferred:

- Experience in construction, residential renovations, or construction operations
- Familiarity with Job Tread, Buildertrend, Procore, or similar construction management platforms
- Background in purchasing, vendor coordination, or procurement
- Knowledge of San Diego permitting and compliance requirements
