For our offices in Granollers we are currently looking for an Order Management Specialist to manage national accounts.
Responsibilities- Customer service:
Answer phone calls and manage requests made by customers, distributing the call to other colleagues if necessary / departments. Receive customer requests via email and take care of its management. - Distribute requests from the common customer service Inbox to other colleagues in the department.
- Quotation Management:
Receive requests and manage quotations. Follow up the acceptance of the offers whenever possible and at the request of the superior. - Order Management:
Manage customer purchase orders, create sales orders, purchase goods to central warehouse and follow-up delivery. - Order delivery tracking, in coordination with Supply Chain & Logistics.
- Administrative management of service requests:
Receive service requests and register them in the system assigning an initial date and a service technician based on availability and geographic area. - Invoicing of services: proforma and final invoicing after verifying that the documentation and data are correct; track and receive orders for billing and issue credit notes in compliance with approval guidelines.
- Management of maintenance contracts: register contract information in the system, control intervention dates, modify material lists during the contract term, and handle billing.
- Management of incidents that arise during each phase of the “order to cash” process until resolution.
- Travel management of technicians and colleagues.
- Studies in Administration & Finance.
- Minimum 1‑2 years of experience in the Back‑office department (Order Manager role).
- Training, knowledge, and experience in administration.
- Experience as part of a project management team is valuable.
- Sensitive leadership personality with experience leading high‑performance production organizations.
- Spanish (Native).
- English (Advanced);
Portuguese would be an asset. - High performance and result orientation.
- Convincing personality successfully pushing for results despite facing resistance.
- Ability to communicate with all levels within the organization.
