Having one’s name registered in the population register kept by a Belgian Consulate or Embassy abroad entitles the person to benefit from the same services as those provided by municipal authorities in Belgium. Registering allows the Embassy to assist their citizens more efficiently when issuing an identity card, issuing consular certificates (e.g. residence certificates, registration certificates, certificates of nationality, 'household composition' certificates, cohabitation etc.). One may also participate in some elections in Belgium.

Since October 2011, the passports delivered by the Embassy of Belgium in London are in conformity with the latest European security requirements. They now contain the biometric data of the bearer, namely fingerprints and a digital photo. This has made it a necessity for the applicants to present oneself physically at the Embassy, after booking an appointment, to introduce the new passport application. New passports are valid for a period of five years.

In order for the Consular Section to process one’s application as efficiently and swiftly as possible, it is recommended that the applicants are registered in the population register.

It is strongly advised to submit the application well in advance of any planned trips. Furthermore, please bear in mind that some countries require a passport with a minimum of 6 months validity at the time of the return journey. Biometric passports are not produced locally, one should therefore allow at least 10 working days for delivery of the passport.

In the event that one’s old passport was lost or stolen, the person will have to make a declaration at the local police station. The proof of this declaration is required in order to apply for a new passport and must be submitted along with the declaration of loss.

In the event of an urgent situation, one can contact the Passport Office and request a temporary passport at the time of one’s appointment for a new passport. This temporary passport is only valid for 6 months and one should be aware of the fact that not all countries accept a temporary passport which is filled out by hand.
