Overview
Aptean is seeking a detail-oriented and organised Payroll Specialist DACH to join our HR team in Mannheim (hybrid). In this role, you will be responsible for coordinating the monthly payroll process for all German and Austrian entities, working closely with internal HR partners and external payroll service providers to ensure accurate and timely processing.
The Payroll Specialist plays a key role in ensuring that all payroll‑related changes and statutory obligations for Aptean's DACH entities are processed accurately and on time. This includes close collaboration with the external payroll provider, the Finance team, and HR colleagues to support audit readiness, regulatory compliance, and a smooth employee experience across the region.
Key Responsibilities- Prepare and submit all payroll‑relevant changes to the external payroll provider, including new hires, leavers, salary adjustments, and special payments.
- Liaise with the external payroll service provider, review test payrolls, and communicate corrections as required.
- Serve as the primary point of contact for employee payroll enquiries and produce employment certificates and final payslips.
- Generate monthly, quarterly, and annual payroll reports for internal stakeholders.
- Support administrative tasks including processing incoming correspondence from health insurance providers, pension authorities, and other relevant bodies.
- Collaborate with the Finance and HR teams on reporting activities and internal or external audits.
- Assist with change management processes such as the integration of newly acquired entities or payroll system transitions.
- Carry out general administrative duties within the HR department as required.
To excel in this role, you should have:
- Solid, demonstrable experience in German and Austrian payroll processing is required. Prior exposure to DACH employment law and external payroll provider management is highly desirable.
- Strong working knowledge of German and Austrian payroll legislation, social insurance regulations, and statutory reporting requirements. Familiarity with payroll systems and HR information systems is expected.
- Fluency in German and English (written and spoken).
- Strong organisational and time‑management skills; excellent interpersonal and communication abilities; high level of accuracy and confidentiality; ability to work independently while being a strong team player.
- Ability to work on multiple tasks at any given time, prioritising accordingly.
- Proven analytical skills, including the ability to apply a logical approach to develop, test and deliver solutions to problems.
