Job Overview:
We are looking for a proactive and people-oriented Community Event Coordinator to lead and manage Infinity Learn’s apartment engagement activities. The role involves planning, coordinating, and executing community events such as workshops, magic shows, and promotional activities within residential societies.

Key Responsibilities:

1. Apartment Outreach & Coordination
⚫ Connect with apartment property managers to propose, plan, and secure approvals for community events.
⚫ Build strong relationships with resident welfare associations (RWAs) and community leaders.
2. Vendor Management
⚫ Coordinate with various vendors for event requirements including magic shows, robotics workshops, setups, and entertainment activities.
⚫ Negotiate pricing, timelines, and deliverable s to ensure smooth event execution.
3. Branding & Promotion at Apartments
⚫ Ensure proper branding installations such as standees, banners, posters, and flyers at the venue.
⚫ Oversee on-ground promotional activities and ensure visibility of Infinity Learn’s offerings.
4. Registration & Lead Management
⚫ Manage and track resident registrations prior to the event.
⚫ Coordinate with internal teams to ensure data accuracy and follow-ups.
5. On-Ground Event Execution
⚫ Handle crowd management and participant flow on the day of the event.
⚫ Ensure timely execution of all event segments—workshops, shows, demos, and engagement activities.
⚫ Troubleshoot on-ground issues and ensure seamless coordination among staff, promoters, and vendors.

Preferred

Qualifications & Skills:

◆ Bachelor’s degree in Marketing, Event Management, or someone from technical field.
◆ Strong communication and negotiation skills.
◆ Ability to manage multiple stakeholders and vendors.
◆ Comfortable working on weekends as events are usually scheduled on Saturdays/Sundays.
◆ Energetic, outgoing personality with excellent coordination skills.

Apartment Outreach & Event Scheduling
✓ 20–30 apartments reached out per week
✓ 20–30% approval conversion rate
✓ 8–12 events finalized per month

Vendor Coordination & Branding Execution
✓ 100% on-time vendor readiness
✓ Less than 2 vendor escalations
✓ 100% branding compliance per event (checklist-based)

Registration & Lead Management
✓ 40–100 registrations per event (depending on event type S-40,M-70,L-100)
✓ 40–50% Demo conversion rate
✓ 100% accuracy of collected resident data

Event Day Execution
✓ 100% on-time event start
✓ Crowd management score 4/5 or above
✓ Participant satisfaction score 4/5 or above
