Anderson Knight is delighted to be recruiting a Personal Assistant to the CEO on behalf of one of our clients based in Bathgate.
This is a highly trusted and varied role, providing first-class executive and administrative support to the CEO, Senior Leadership Team and Board. The successful candidate will play a pivotal role in ensuring the smooth running of governance, meetings, communications and organisational coordination.
This opportunity would suit an experienced PA or senior administrator who is highly organised, proactive and confident working at executive and Board level.

Salary: £13.50 per hour
The RoleAs PA to the CEO, you will act as a central point of coordination across the organisation, supporting effective leadership, governance and decision-making.
Key Responsibilities CEO & Senior Leadership Team Support- Provide high-quality executive support to the CEO, including diary management, meeting coordination, preparation of briefings, reports and presentations.
- Assist with CEO correspondence by drafting holding responses and gathering information from managers and external partners.
- Support weekly CEO catch-ups by highlighting priorities, tracking actions and preparing briefing notes.
- Coordinate Senior Leadership Team meetings, including agenda planning, note-taking and maintaining action trackers.
- Provide proactive support to the wider Senior Leadership Team as required.
- Plan, organise and support Board and Audit & Finance Committee meetings, including scheduling, logistics, room bookings and catering.
- Prepare, format and distribute Board papers in line with reporting and governance standards.
- Take accurate minutes, manage Board correspondence and coordinate information requests from Trustees.
- Maintain and publish public Board documentation, including agendas and redacted minutes, working closely with Marketing to update the website.
- Schedule and organise meetings across the organisation, ensuring papers and logistics are in place.
- Act as a professional first point of contact at Head Office, managing calls, enquiries and visitors with discretion and professionalism.
- Support governance and compliance activity, including policy management and document retention.
- Coordinate and track Freedom of Information (FOI) requests and complaints, ensuring logs are kept up to date and responses are issued on time.
- Manage escalated complaints and enquiries received via the CEO or central mailbox, coordinating responses with relevant teams.
- Handle correspondence from customers, MPs/MSPs, council officers and other stakeholders with tact and professionalism.
- Deliver efficient administrative support including mail handling, stationery ordering, document archiving and visitor management.
- Identify opportunities to improve administrative processes and contribute to continuous improvement across the organisation.
