A fast-paced office-based role supporting time‑critical logistics operations, handling customer enquiries, coordinating same‑day transport and delivering accurate administrative support within a busy operations environment.

SALARY: £26,000 per annum

LOCATION: Bathgate, West Lothian, Scotland

JOB TYPE: Full‑Time, Permanent

WORKING HOURS: Rotational shifts Monday to Friday, 7.5 hours per day between 8 am and 6 pm

You will be required to participate in an On‑Call Rota covering evenings and weekends, which is paid in addition to salary.

We have a fantastic new job opportunity for a Customer Service Assistant / Operations Administrator to join a busy head office operations team supporting time‑sensitive transport services. This role suits someone who thrives in a structured, fast‑moving office environment.

As a Customer Service Assistant / Operations Administrator, you will act as the first point of contact for customers, suppliers and partners, handling incoming calls and emails relating to urgent same‑day transport and logistics solutions. Accuracy, communication and prioritisation are key.

The Customer Service Assistant / Operations Administrator role also includes shared responsibility for administrative tasks such as pricing, invoice authorisation and third‑party shipment tracking. Full training is provided to support your development within the team.

DUTIES
  • Handling Incoming Enquiries: Managing high volumes of calls and emails professionally
  • Processing Transport Requests: Coordinating time‑critical same‑day shipments accurately
  • Customer Service Support: Providing clear updates and solutions for urgent logistics needs
  • Shipment Tracking: Monitoring and updating third‑party transport movements
  • Administrative Support: Assisting with pricing, invoicing and clerical tasks
  • Data Accuracy: Maintaining high attention to detail across systems and records
  • Rotational Responsibilities: Supporting large distributions and specialist transport tasks

CANDIDATE REQUIREMENTS
  • Previous experience working in a busy call centre, customer service or transport environment
  • Proven experience handling high call volumes and time‑sensitive enquiries
  • Strong communication skills with a professional and confident telephone manner
  • Good working knowledge of Microsoft Office, including Excel and Outlook
  • High levels of accuracy and attention to detail
  • Ability to manage priorities effectively in a fast‑paced operations setting
  • A proactive, organised and reliable approach to work
  • Willingness to participate in an on‑call rota covering evenings and weekends
