Kane Group are seeking a Junior Administrator based in Birmingham to be part of our growing team.

The successful candidate will provide essential administrative support to the Birmingham office and Operations team, helping ensure smooth coordination and efficient day-to-day operations across sites in the Midlands and UK.

KEY RESPONSIBILITIES General Administration
  • Provide administrative support including document preparation, data entry, diary management, correspondence, and visitor reception.
  • Assist in the management of office resources including supplies, meeting scheduling, mail distribution & filing.
  • Handle incoming calls, emails, and visitor interactions professionally, serving as a liaison between internal teams, clients, and suppliers.
Compliance & Records Management
  • Assist the Administrator in supporting ISO audits, NICEIC inspections, insurance renewals, and maintaining business continuity documentation.
  • Assist with the accurate filing and distribution of HSEQ documents and ensure compliance with company standards.
  • Regular checking and updating the company QA systems. (Full training provided)
  • Utilize Kane Group platforms (Field View, Viewpoint, 4

    Projects) for managing project data & uploading certifications (Full training provided).
Project & Operations Support
  • Assist with tracking and distributing project documents, RFIs, and technical submissions.
  • Help with progress reporting, defects management, and handover activities including O&M manuals and certification collation.
  • Support ordering and checking deliveries of PPE, stationery, and site materials.
  • Provide admin support to HR, Accounts, Procurement, and Commercial teams (e.g., timesheets, absence tracking, invoice filing).
  • Assist with creating purchase and subcontract orders
  • Organisation of deliveries to site or office.
  • Updating all site required paperwork.
  • Work closely with the Administrator and liaise with relevant departments to ensure effective communication and teamwork.
  • Respond to client queries and feedback professionally, ensuring they are directed to the appropriate team members and followed up.
  • Prepare meeting materials, attend meetings and take notes when required.

QUALIFICATION
  • 5 GCSE passes (or equivalent) including Maths and English
EXPERIENCE & KNOWLEDGE
  • Experience in an office environment (filing, data entry, and document preparation).
  • Familiarity with handling phone calls and emails professionally.
  • Proficient in MS Office Suite (Excel, Word, PowerPoint, Outlook, Teams)
  • Familiarity with document control systems such as Viewpoint, Field View and 4

    Projects (4P)
