Job Summary

We are looking to recruit an enthusiastic and committed receptionist to join our friendly team. The position is part time. Monday-Friday 20 hours a week between 8:00am and 6:30pm. Shifts vary each week and therefore the post holder will need to be flexible with their working hours. There are times when overtime is required and you will be expected to undertake your fair share of overtime over your contracted hours to cover staff absence.

We are ideally looking for someone with excellent interpersonal skills and experience with dealing with the general public. Delivering high quality services is essential.

About Us

The GP surgery is based at Pontllanfraith Health Centre and is a busy single site practice with a stable list size of approx 8900 patients. We provide an exceptional service and are proud to have maintained this level of service throughout the global COVID-19 pandemic and beyond. The practice has a manageable workload and serves a friendly practice population with a strong emphasis on community values.

Job Responsibilities

To be responsible for undertaking a wide range of reception duties and provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

  • Offer general assistance to the practice team and project a positive, professional and friendly image to patients and other visitors, either in person or via the telephone
  • Using Care Navigation, receive, assist and direct patients/visitors in accessing the appropriate service or healthcare professional in a courteous and effective way
  • Maintaining and monitoring the practice appointment system
  • Process telephone and e‑requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Initiating contact with and responding to requests from patients, team members and external agencies
  • Advising patients of relevant charges for private (non GMS Services), accepting payment, and issuing receipt
  • Photocopy documentation as required
  • Action incoming/outgoing faxes when necessary
  • Action emails as directed
  • Processing and distributing incoming and outgoing mail and hospital letters (paper and electronic)
  • Data entry of new and temporary registrations and relevant patient information as required
  • Input data into the patients healthcare records as necessary
  • Filing and retrieving paperwork
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice protocols
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Process patient prescriptions as directed
  • Support the practice administrator with requests for information i.e. SARs, insurance/solicitors letters, DVLA forms, booking of private medicals etc.
  • Summarise/read coding of patients medical records
  • Manage all queries, taking messages as necessary and passing information on in an efficient and timely manner
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards ensuring clean, tidy and free from obstruction
  • Support all clinical staff with general tasks as requested
Additional Responsibilities
  • Support the administrative staff, providing cover during staff absences
  • Opening up/locking‑up of the practice premises and maintaining security in accordance with practice protocols
Experience
  • Essential Worked in an environment handling sensitive information
  • Desirable Experience working in a Healthcare setting
Qualifications
  • Essential Educated to GCSE level or Equivalent; GCSE Maths & English (C or above)
  • Desirable AMSPAR Receptionists Qualification; NVQ Level 2 in Health and Social Care
