Operations Specialist

• Responsible for business side of outsourcing Product Safety studies with Contract Research Organizations including gathering and reviewing supporting documents for contracts ensuring appropriate contract and invoice approvals generating purchase order (PO) and letter of authorization recording PO and invoice payments in global tracking system.
• Provides support updating external resources and staff days in the global Smart Choice planning system.
• Works closely with procurement to initiate and renew laboratory service contracts and purchase orders. Approves payment of invoices for service contracts.
• Works closely with Procure to Pay Service Delivery analyst Procurement and with legal department on procedures and issues concerning purchase orders invoice management vendor master data and contractual agreements with 3rd party vendors.
• Ensures internal financial recordkeeping procedures are consistent with best practices.
• Serves Product Safety technical staff as in house reference source for procedures and compliance with best practices accounting and CRO contracting procedures and processes invoice management system and troubleshooting.
• Provides guidance and troubleshooting to contract research organization staff on generation and tracking of Product Safety contractual documents purchase orders invoices and payments.
• Provides KPI data for reports.
• Support the collation and analysis of request for capital expenditure.

• Bachelors Degree
• Proficient in Microsoft office skills including Outlook, Word, Excel and Power Point
• Proficient in enterprise systems such as SAP, Salesforce, Procure Smart Choice Connect or similar.
• Experience with digital conferencing tools such as Zoom or MS Teams.
• Preferred experience with Power BI and LLMs such as Co-pilot, Chat GPT, Gemini
• Preferred experience with automated workflows including but not limited to Microsoft Power Automate and Smartsheet.
• Proven experience of delivery to time and quality
• Customer focused mindset
• Quality management / continuous improvement experience
