Job SummaryPART-TIME RECEPTIONIST REQUIRED. 20 HOURS PER WEEK. Monday - Friday 8am - 12noon. Needs to be flexible to suit the needs of the practice, and able to cross cover should the need arise. Previous experience desirable but not essential as full training will be offered.
About UsWe are a family‑friendly practice that is team supportive and delivers high quality care to an approximately 8,800‑patient group. Our team consists of a GP Partner, 4 salaried GPs, 5 advanced practitioners, 2 practice nurses, 2 HCAs, a management team and clerical team. We are also a training practice for trainee nurses and are consistently high QOF achievers, CQC Good (April 2022) and Investors in People Gold Award achievers (December 2022, reaccredited December 2025).
We participate in numerous enhanced services including anticoagulation, diabetes, ultrasound, sexual health and dermatology.
- Ensure an effective and efficient reception service is provided to patients and any other visitors.
- Deal with all general enquiries, explain procedures and make new and follow‑up appointments.
- Use judgment and communication skills to see patients requiring urgent consultation in a logical and non‑disruptive manner.
- Explain practice arrangements and formal requirements to new patients.
- Receive and make telephone calls, divert calls and take accurate messages.
- Enter requests for home visits onto the clinical system and refer to duty doctor as necessary.
- Action repeat prescription requests and ensure they are ready for collection within 48 hours.
- Advise patients of relevant charges for private services, accept payment and issue receipts.
- Enter patient information updates (address, name, telephone) on the computer.
- Make and serve refreshments, keep the kitchen clean, and maintain the waiting room with staff.
- Open premises at the start of the day and secure the building at closing.
- Register new patients onto the computer system promptly and accurately.
- Book childhood immunisations and complete necessary administration when receptionist supervisor is unavailable.
- Carry out pathology data administration tasks.
- Perform tasks such as working the EDI, emptying the WYCSA bag, handling insurance reports and medical records requests.
- Arrange transport for patients when necessary.
- Check fax machine and print newly arrived faxes; stamp and action all incoming post.
- Advise practice manager of stationary or equipment needs.
- Send faxes to outside organisations; file clinical letters into relevant trays.
- Action tasks within a timely manner.
- QOF work.
- Practice, national and local services such as flu campaigns, dementia screening, etc.
- Diabetes 9 care process booking and monitoring.
- Cytology invites and recalls.
- Monitoring patient call and recall systems, including DMARDs and blood tests.
- Filing and retrieving paperwork.
- Extraction of necessary data from clinical correspondence and input into Electronic Patient Record, including NHS Mail.
- Report faults to software supplier and track progress.
- Ensure security of data at all times.
- Pathology administration.
- Cover practice secretary when required, e‑referrals.
- Cover other administrative work over holidays and sickness.
- Scan and match incoming mail to patients’ computer held records.
- Registrations and deductions.
- Filing and collecting notes for PCSE.
- Add data to SharePoint systems in a timely manner.
- Medical reports administration and timely management.
- Undertake any other additional duties appropriate to the post as requested by the partners or the practice manager.
Essential
- GCSE English and Maths A‑C
- Customer services experience
- Previous reception or administrative work experience
- Checkable work history
Desirable
- Experience in primary or secondary care administration or reception work
