Qu Data Centres is seeking an experienced Procurement and Asset Management Lead to manage hardware assets, network circuits, and software licensing agreements across data centre environments, while also overseeing procurement operations and vendor management. This role ensures accurate tracking, cost control, compliance, and timely procurement to support project delivery and operational efficiency.
Key Responsibilities Hardware Asset Management- Maintain inventory of all hardware assets.
- Train internal teams, build processes, and align on hardware records and tracking.
- Track location, rack placement, status, age, and end‑of‑life (EOL) timelines.
- Monitor lifecycle and proactively notify teams of EOL/EOS milestones.
- Manage shipping issues, delays, vendor escalations, and tracking for hardware deliveries.
- Coordinate annual physical inventories of assets with local managers to validate records.
- Reconcile asset register data with Finance and IT systems to ensure accuracy, compliance and audit ready.
- Manage internal circuits from multiple vendors (Bell, Telus, Rogers, and others).
- Maintain detailed records of circuit types, locations, operational status, and costs.
- Coordinate with vendors and Network teams for provisioning and service changes.
- Track software licenses for internal consumption and customer use including quantities, usage and costs.
- Renew licenses for customer‑provided hardware and extend for renewed contracts.
- Monitor license expiry alerts, inform internal team and sales, and initiate renewals.
- Track hardware and license support contracts and lifecycle; notify internal teams.
- Ensure annual alignment with vendors and other interested parties to confirm accuracy of licensing records.
- Validate supplier billing against customer billing to maintain compliance and cost integrity.
- Validate vendor quote pricing and quantities against project delivery requests.
- Work with vendors to update expired quotes (typically valid for 30 days).
- Create and manage ship‑to work orders for data centres.
- Track hardware from vendor order to data centre receipt and update CRM / inventory systems.
- Maintain knowledge base articles for common vendor issues and resolutions.
- Identify cost‑saving opportunities when possible.
- Establish a vendor and contract inventory database (including spend, term dates, and owner).
- Develop procurement procedures and approval workflows to ensure compliance and cost control.
- Lead the selection and implementation of a procurement system.
- Negotiate new contracts and pricing structures where scale or scope changes impact terms.
- Serve as primary point of contact for vendors during transition.
- Generate reports on asset utilization, circuit costs, and license compliance.
- Ensure adherence to internal policies and external regulatory requirements.
- Provide reporting on asset utilization, lifecycle, and compliance.
- Perform additional tasks as required to support the success of the organization.
