Polytec is seeking a Logistics & Inventory Coordinator to join a growing production-focused organization. This role is responsible for planning, coordinating and controlling the movement, storage and distribution of materials and products, ensuring inventory accuracy, regulatory compliance and timely delivery in line with production and customer requirements.
Responsibilities:
• Plan, coordinate and oversee transportation and distribution activities to meet delivery schedules
• Ensure adherence to shipping, customs, safety and regulatory requirements
• Process and manage commercial and freight invoices, supporting accurate billing and timely payment
• Monitor and control inventory levels across warehouse and production locations
• Maintain accurate data within ERP or warehouse management systems (e.g., SAP, Oracle, Odoo, or similar)
• Forecast material requirements and align closely with production planning and procurement teams
• Liaise with customers to confirm service schedules, site access and required documentation
• Track service activities, parts consumption and technician hours for reporting and invoicing purposes
• Create, maintain and improve standard operating procedures (SOPs) related to logistics and inventory
• Prepare regular reports on inventory accuracy, turnover and stock aging
• Support additional logistics and operations tasks as required
Requirements:
• At least 2 years' experience in logistics, inventory control or supply chain operations within regulated industries such as life sciences, biotech, medical devices or pharmaceuticals.
• Experience handling temperature-controlled, sterile, fragile or regulated materials (e.g., biological samples, diagnostic products, or sensitive reagents)
• Practical experience coordinating domestic and international shipments, including customs documentation, export controls and dangerous goods requirements
• Proven ability to work closely with production teams, logistics providers and customers to ensure smooth operational coordination
• Experience managing stock within manufacturing or distribution environments using ERP systems
• Strong analytical, organizational and planning skills
• Solid understanding of logistics, transportation and inventory management principles
• Clear and professional communication skills, both written and verbal
• Proactive problem-solving approach with a continuous improvement mindset
• Ability to collaborate effectively with cross-functional teams and external partners
• High level of computer literacy, including ERP system use and general data management
