Office Administrator/ Coordinator
Supporting facilities management and the day-to-day operations of the business by ensuring the smooth and efficient running of the office environment to a high standard.
Specific ResponsibilitiesGeneral housekeeping duties, keeping the internal and external environments presentable at all times
Maintenance of building and general repairs. Basic electrical, plumbing and decorating duties
Managing all post-room duties including incoming and outgoing post distribution, packing, mail franking and deliveries
Working closely with Reception to ensure clear communication, consistency, and continuity of cover
Ordering and monitoring stock of office supplies including stationery, janitorial, catering and electrical
Maintaining and keeping stocked office equipment e.g. photocopiers, printers, franking machine etc.
Room set-up/furniture repositioning for in-house meetings and events
Wine glass cleaning after events, as needed
Organising laundry collections and weekly stock take
Liaising with outsourced services and contractors. Sourcing and benchmarking, as necessary
Supporting the business’s sustainability commitment by maintaining and improving the re-cycling programme for paper, cardboard, bottles, toner cartridges etc.
Using the CRM system (AX) to log and organise wine being ordered from and returned to the warehouse
Maintaining procedure documents and essential contacts for contingency planning
Health & Safety, First Aid and Fire Warden duties
Supporting other general ad hoc duties as and when required and deputising in the absence of the Facilities Manager
Experience of basic electrical repairs, plumbing and decorating
A self-starter who can work with minimal supervision
Experience and an understanding of Health & Safety
The ability to complete manual handling tasks
A strong team player within the department and company-wide
Clear communication skills both verbal and written
Being flexible and pragmatic with a hands-on approach
The ability to work with competing deadlines and priorities
Good IT skills including Microsoft Word, PowerPoint, Excel, Outlook
Proactive attitude with a view to improving processes and procedures
An interest in the Wine Trade with a desire to learn more
Recognised Health & Safety qualification
Qualified and current First Aider
Qualified and current Fire Warden
Manual Handling training
