Quality Assurance Officer – Medication Monitoring & Care Planning

Working Pattern:
Rotational shifts including weekends (flexibility required)
Role Purpose
The Quality Assurance Officer will support the organization by ensuring high standards of care delivery, accurate documentation, and safe medication practices. The role focuses on drafting and reviewing personalized care plans, monitoring medication administration, and ensuring compliance with CQC standards and organizational policies.
Key Responsibilities
1. Care Planning & Documentation
Draft, review, and update personalized care plans in collaboration with care teams
Ensure care plans are needs-led, accurate, and compliant with CQC standards
Draft and maintain personalized daily logs reflecting service user needs and risks
Provide regular updates to care documentation following changes in condition or support needs
Daily Logs to include:
Access to property
Service user interaction and communication
Infection control and PPE
Personal care and continence care
Nutrition and hydration
Medication administration
Sensory impairment support
Wellbeing monitoring
Shift handover notes
2. Medication Monitoring & Auditing
Monitor the Medication Whats App Administration Group
Identify, address, and follow up on medication errors or discrepancies
Provide guidance to care workers and escalate concerns to management where required
Conduct regular EMAR audits, ensuring records align with prescriptions and care plan
Support safe medication administration practices across services
3. Tracker & Record Management
Maintain a Service User Tracker, including:
Active services
Holds and suspensions
Care documentation status
Maintain a Medication Tracker, ensuring:
Timely ordering and delivery of medication
Liaison with pharmacies
Continuity of medication supply
4. Communication & Quality Oversight
Liaise with care workers, coordinators, managers, pharmacies, and GPs
Support quality improvement through audits and feedback
Ensure compliance with organizational policies and procedures
5. Person Specification
Essential
Background in health, social care, or a medical-related field
Understanding of clinical and medication terminology
Strong written and spoken English
Excellent attention to detail
Effective communication and information-gathering skills
Good typing speed and IT literacy
Confident use of digital tools (including ChatGPT for drafting support)
Knowledge of medication administration processes
Desirable
Care Certificate
Experience with EMAR systems
Previous QA, auditing, or compliance experience
Understanding of staff supervision and CPD
Knowledge & Training (to be gained or demonstrated)
Drafting personalized care plans and daily logs
Auditing medication administration and EMAR
Maintaining QA and medication trackers
Knowledge transfer and reverse KT processes
CQC Regulations: 9–20
