Position Overview

We are looking for a qualified and experienced Facilities Assistant to lead our front‑of‑house services—including reception, mail, and cleaning teams—and to provide a high‑quality experience to all guests and clients in the GPA site office buildings in Coventry. As the Facilities Assistant
, you will demonstrate a passion for delivering a 5
* customer experience and be responsible for the management of all front‑of‑house services, including meeting rooms, mail/logistics and cleaning. You will coordinate with other service providers to enable a seamless customer experience, standardise processes and procedures, and provide professional support, advice, and local knowledge to staff, building users, and visitors. Confidence in dealing with demanding customers, strong problem‑solving skills, and a drive to go above and beyond for all visitors are essential.

The role will report to the Regional Soft Service Manager and ensure that services delivered by the site/location service lines are consistent. Reactive issues and customer enquiries will be responded to promptly and professionally. You will be responsible for presentation of the soft service lines, client and end‑user interface, and timely reporting and escalation of issues.

Main Role
  • Lead the front‑of‑house teams and maintain a visible presence with clients and staff, fostering a high‑quality service culture.
  • Work with the Soft Service Manager to handle all client requests and ensure central support.
  • Act as the key liaison for visitor management, cleaning, and mail services.
  • Communicate with client personnel to ensure high‑standard delivery.
  • Be fully conversant with visitor pass processes and security supply chain partners.
  • Manage the cleaning team, including recruitment, selection, and development of staff.
  • Support selection and training of suitable cleaning operatives and supervisors.
  • Ensure routine planned and periodic cleaning, including reactive works, is delivered.
  • Ensure seamless operation of conference meeting rooms—booking, set‑up, and liaising with catering.
  • Collate and coordinate management information as required—reports, service failures, work volumes, contract performance, audit results.
  • Continuously review front‑of‑house service delivery strategically.
  • Ensure staff are trained to work safely, efficiently, and to standard.
Primary Responsibilities
  • Maintain a clear, presentable, and safe office floor; observe quality control issues and log tickets for other areas.
  • Tackle issues and coordinate service suppliers, stepping in directly if required to ensure uninterrupted services.
  • Own building standards and communication.
  • Manage meeting room usage efficiently and correctly.
  • Support occupancy management and client mapping.
  • Be conversant with emergency evacuation procedures, including GPA’s Tag Evac process.
  • Provide detailed feedback to all teams.
  • Conduct building tours to report faults and concerns promptly.
  • Assist and liaise with the Commercial Team on additional works, variations, and quotations.
  • Review service delivery periodically for improvements and cost savings.
  • Lead front‑of‑house and cleaning supervisors, monitoring performance and standards.
  • Maintain close working relationships with building and security management.
  • Investigate and respond to visitor and building user complaints immediately.
  • Delegate to encourage team development and ownership.
  • Coach individuals to build a high‑performing team.
  • Award and recognise team performance.
  • Hold monthly team meetings and regular briefings.
Experience

Applicants must demonstrate at least 2 years in a senior supervisory role with relevant experience in a large‑scale commercial soft‑service operation. Strong operational experience, commercial awareness, and team‑management skills are required. You must maintain a safe and compliant environment in line with the Health and Safety at Work Act (1974) and subsequent UK and EU amendments.
